Lodging Coordinator

Overview:


The Lodging Coordinator is responsible for a full range of lodging support service for the Foreign Affairs 
Security Training Center (FASTC).

Primary Responsibilities:  Maintains FY course schedules for lodging purposes;  Arranges lodging reservations for students and staff with contracted hotel facilities; Provides lodging confirmation information to students and course coordinators; Maintains lodging information on excel spreadsheet and updates accordingly. Quarterly analyzes spreadsheets to determine room nights per hotel;  Notifies class coordinators, program managers, and COR of any student or hotel issues; Arranges shuttle service with hotels for students; Provides detailed lodging spreadsheets to program managers for invoice reconciliation; Provides procurement requests and/or funding documents to the budget unit for identified courses; When necessary, provides lodging briefing to students; Backs-up the Travel Operations Specialist; Generate various reports related to lodging data.  Updates the lodging standard operating procedures. Attends quarterly meetings with designated hotels. Ensures student records (lodging, travel and external training) are managed according to the records disposition schedule. Review suspense file and take appropriate action to correct discrepancies to ensure timely processing. Perform other duties as assigned. Supervisory Responsibilities:

Education and/or Experience:


• Must possess a high school diploma, Associate’s degree preferred
• Three (3) years of customer service and administrative experience

Knowledge, Skills, and Abilities: Thorough knowledge of Microsoft applications (MS Word, Excel). Strong oral and written communication skills required. Ability to handle multiple tasks simultaneously. Knowledge of basic accounting skills helpful. Experience in providing travel support or event planning services is preferred. Ability to work independently. Certificates, Licenses, Registrations: Driver’s License Security Clearance: Must be a U.S. citizen. Possess or be able to obtain/maintain a SECRET security clearance. Physical Demands:


The physical demands that will be required inside the work place and for the position. Must lift, will sit, 
answer the phone, type on a keyboard, move files, etc.
