THE JOB

This position assists the VP Tour Booking and their teams in all necessary aspects as it relates to the Comedy department. This includes office administration, contract administration, production coordination, etc.

WHAT THIS ROLE WILL DO

Provide daily support to VP Tour Booking and other members of the team, which includes but is not limited to:Answering phonesSchedule and calendar upkeepMonthly expensesBook travelDirectly coordinate, or coordinate with Travel Department, travel arrangements including flights, hotels, and car services as requested and create itineraries, including all confirmations and contact information for flights, hotel and transportation. Updates itineraries and check for new information pertaining to travel. Prepare and update office travel schedule.Generate deal sheets in RomeProfessionally communicate and collect information with artist agencies and management and show personnelUse sound judgment and carefully ascertain the nature of incoming phone calls, accurately records messages, address issues on your own, and transfer calls as necessary. Follow up with callers regarding information requests.Proactively manage the workflow of the VP Tour Booking, including meetings, correspondence, and milestones.Help organize critical work projects. Prioritize with the VP Tour Booking to make sure that all objectives are addressed and handled in a timely manner.Complete and distribute Show Confirmations and Event Status Sheets to internal staff, venues and partnersCreate reports as needed and distribute to pertinent internal and external stakeholdersManage show files to ensure all essential documents are present prior to day of show and festival.  Including but not limited to headliner and support contracts, riders, and W9’s.Assist with industry and guest ticketing requests and serve as liaison on site as neededWork with other members of internal departments as requested to promote departmental objectives.Compose, type, and prepare correspondence, memos, PowerPoint presentations, confidential materials, etc. of the highest quality.Coordinates, administrates and tracks show contracts, payments and other paperwork from beginning to end.Provide general administrative support and perform diversified administrative duties; prioritize, and manage projects with minimal supervision.Interface with agents and venues to verify availability and build a calendar of eventsManage internal documentation using internal booking systems, calendars and ticketing schedules.Assist in administration for booking amphitheaters, arenas, and theaters.Run errands as requested by assigned executive(s).Multitask in a fast-paced environment and remain organized, with attention to detail.Help gather avails and organize avails grids for routing tours and shows.  Help finalize settlements from shows and reconcile shows with venues/accounting.Need to be available to work occasional nights and weekends.Complete other duties and projects as assigned

WHAT THIS PERSON WILL BRING

The expected compensation for this position is:

$25.00 USD - $31.25 USD Hourly

** Pay is based on a number of factors including market location, qualifications, skills, and experience.
