Legacy and Planned Giving Administrator Alliance Defending Freedom is looking for a highly professional Legacy and Planned Giving Administrator to join us in our Scottsdale, AZ office. As the Legacy and Planned Giving Administrator, you are a vital part of the Development Team. In this role, you will report to the Director of Legacy and Planned Giving and are responsible for providing administrative and project coordination support to the Legacy and Planned Giving team. Your Essential Responsibilities: In this position, you will: + Assist with Ministry Friend recordkeeping (CRM) and related processes that facilitate reporting, tracking, and follow-up on legacy and planned giving initiatives. + Assist in project coordination and optimize processes and ensure projects are being completed with excellence and efficiency. + Provide proactive support to the Director of Legacy and Planned Giving, including scheduling meetings, drafting meeting agendas and taking notes, conducting research, acting as a liaison between like-minded ministry partner organizations, LPG, and Development, and composing correspondence, reports, and other materials as needed. + Manage a wide variety of incoming inquiries from Ministry Friends about legacy and planned giving through customized responses, drafting and adapting existing template answers as needed, directing incoming leads to the appropriate team members, and managing follow-up communications as needed. + Maintain up-to-date SOPs for processes supported and managed by this role, and keep relevant folders and documents organized and easily accessible for other team members. + Support efforts within the Development Team to expand awareness of legacy and planned giving opportunities. + Generate invoice payment requests and submit individual expense reports. Skills you need to succeed: Demonstrated proficiency in: + Excellent verbal, written, and interpersonal communication skills. + Strong organizational, project coordination, and time management skills. + Microsoft Office software, including Outlook, Word, Excel, and Teams. + Following complex procedures and completing tasks with excellence and attention to detail. + Managing processes to keep projects and individuals on track, including the ability to coordinate across departments and levels of the organization. + Researching, identifying key information, and compiling highlights concisely. Ability to: + Anticipate needs, understand and refine ideas into practical solutions, and break down complex projects into smaller steps. + Work, motivate, and initiate work within a team and independently. + Learn quickly, with strong initiative and self-motivation. + Proactively anticipate needs and provide potential solutions. + Multi-task, managing multiple priorities and adjusting the focus to the highest priority task. + Optimize processes to increase effectiveness and scale for future opportunities. + Be an effective team player who cultivates strong internal working relationships. Education and/or experience: + Bachelor’s degree or equivalent experience. + 2-5 years of increasing administrative responsibility or professional experience. + Experience with legacy and planned giving is preferred. + Project coordination experience is preferred.
