Job Description

Job Title:  Leave of Absence Administrator

Location: Corporate

Department: People Team

Job Summary:  The Leave of Absence Administrator is responsible for establishing a professional and supportive “first contact” for Leave-related requests and questions that come through the Associate Service Center in order to provide first call resolution and escalate when necessary to the appropriate Leave Specialist for case management. The Coordinator initiates the leave process and administers job accommodations that are compliant with company policy and all applicable state and federal regulations. 

Principal Duties:Consult with and advise associates, associate’s family members, and managers regarding the eligibility and qualification requirements for leave of absence.Supports in-bound and outbound associate leave related calls, emails and faxes.Support the day to day processes pertaining to leave transactions, including but not limited to new leave requests, extensions, accommodations and return to work.Advise managers and associates on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits.Work with both Corporate and Store Operations leaders to review the leave of absence process and compliance requirements. Guide leaders on adherence of the employment laws that protects associates with serious health conditions or qualifying reasons. Collaborate with Leave Specialist and Associate Relations Specialists to ensure the associates’ rights are protected under the law.Collaborate with Risk Management, Quality Assurance, and Union partners to process related leaves of absence.Verify, update and/or correct associate's home address, phone number and email address.  Process returned mail with insufficient addresses and follow-up to ensure associate received documents and address is corrected in Workday.Assist with ARS and Leave of Absence mailbox management, including responding to messages and voicemails, reviewing and filing faxed documents.Responsible for additional tasks as assigned by Leave Supervisor to support Leave administration and Associate Relations.

Basic Qualifications:

High School Diploma or Equivalent1-3 years’ experience in administrative customer service or call centerFlexibility to work nights and weekendsAbility to use and navigate web based software programs and Microsoft Office productsBasic understanding of Leave laws and regulations
