Essential functions (job duties):
JOB PURPOSE
Responsible for the maintenance, updating, and improvement of the highly customizable, self-directed solicitation software utilized by the Leadership Annual Gift team and the Digital Philanthropy Center (currently VanillaSoft). Create training materials and conduct in-person and virtual training sessions for all users. Assist the Leadership Annual Giving team with the coordination, preparation, and follow-up of fundraising and donor engagement strategies. Manage and monitor project timelines and process workflows for key initiatives, including Giving Day, annual impact reports, and annual solicitation campaigns. Participate in the evaluation and implementation of new technology tools as needed. This position reports to the Senior Director, Donor Experience and Individual Giving.
ESSENTIAL FUNCTIONS

Responsible for the maintenance, updating, and improvement of the highly customizable, self-directed solicitation software utilized by the Leadership Annual Gift team and the Digital Philanthropy Center (currently VanillaSoft). Including changes to the software; regular data loading and segmentation; development of reports used for solicitation and engagement. Manage and train users and monitor all permissions related to the system. Document and refine procedures to increase program efficiency and ensure consistency. 35%
Support the work of the Leadership Annual Giving team with the coordination, preparation, and follow-up of fundraising and donor engagement strategies. Create and monitor project timelines and process workflows for key initiatives, including Giving Day, annual impact reports, and annual solicitation campaigns. 20%
Collaborate with divisional and other university units to ensure operational efficiencies within the team. Manage project schedules, prepare action plans, gather necessary resources, and communicate progress to team members for assigned projects. Manage associated timelines and ensure deadlines are met. 20%
Coordinate and lead multi-team meetings to encourage collaboration and problem-solving. Support donor event logistics and provide on-site support as needed. Assist in pre-event preparation including the creation of name tags, briefing documents, signage, etc. 15%
Participate in the evaluation and implementation of new technology tools as needed. Manage associated timelines and ensure deadlines are met. 5%
Network with outside professional groups and organizations to keep abreast of current industry trends and best practices related to donor engagement. Represent the Donor Experience team at industry or community meetings at the request of leadership. Special projects and other duties as assigned. 5%

Qualifications:
MINIMUM QUALIFICATIONS
Education Bachelor's degree
Graduation from an accredited college or university with a degree in marketing, business administration, communication, or related field or equivalent combination of education and experience.
Experience Intermediate (3 to 4 years job-related experience)
Additional experience information: Three (3) years of experience in development, alumni relations, communications, or marketing in a non-profit or higher education setting.
Experience with solicitation (VanillaSoft, Evertrue, etc.) and workflow software (Trello, Asana, etc.) preferred.
Professional understanding of, and interest in, Development and Alumni Affairs best practices and general operations. Understanding of trends and best practices within the major gifts, donor relations, and stewardship fields.
Positive and collaborative professional philosophy, recognizing that this position is integral to the achievement of the goals and objectives of Development and Alumni Affairs.

TECHNICAL SKILLS: Proficient in the use of complex administrative systems software, preferrably in the higher education environment. Proficient with Microsoft Office suite, especially Word, Excel and Teams. Ability to understand and translate complex concepts into lay terms.
