Lead Scheduling Coordinator - Vascular Associates
Under the direction of the Practice Manager, the Lead Surgery Scheduling Coordinator participates in the creation of the OR surgical schedule optimizing block time utilization and customer satisfaction. Participates in ensuring patients get a preadmission testing appointment if needed. Maintains open communication with all stakeholders. Acts as a resource for information, policies, and procedures for all aspects of surgical scheduling Functions as a liaison between the surgical scheduling department and physician with the support of the Operating Room leadership team and Practice Manager. Ensures every procedure has a prior authorization on file before surgery is performed if required. Communicate with patient directly regarding appointments and clearances needed. EDUCATION AND EXPERIENCE REQUIREMENTS: The Lead Surgery Scheduling Coordinator position requires a minimum education of a high school diploma, or the equivalent, and previous clerical experience in a medically related setting with extensive knowledge of medical terminology. Knowledge of surgical procedure terminology is desired. The incumbent will possess highly developed skills in customer service, communication, organization, and computer literacy. A minimum of two years experience as a surgery scheduling coordinator is required. PHYSICAL REQUIREMENTS: The position is located in doors under normal working conditions. Should be able to push/ pull 25 lb., lift/ move 15 lb. from floor to table, be able to perform moderately difficult manual manipulations such as using a keyboard, writing and filing for extended periods of time, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photo copiers. Mobility requirements may include the ability to sit at a computer terminal or workstation for a prolonged period of time in addition to being able to squat, stand and walk for a reasonable length of time and distance. Sensory requirements include the ability to articulate and comprehend the spoken English language in addition to being able to read the English language. Communicates utilizing telephone, e-mail, and fax SECTION V - continued FUNCTIONAL PERFORMANCE STANDARDS AND RELATED MEASUREMENT CRITERIA: Performance Standards Measurement Criteria 2. Obtains, verifies and accurately records patient demographics + 3.3. Obtains, verifies and accurately records preoperative diagnosis, surgical procedure, special patient considerations, and surgeon requests + 4. Communicates changes in the next day’s surgical schedule to the operating room and ambulatory surgery departments C. Utilizes proactive tactics to most efficiently utilize block time, open time, and released block in preparing the surgical schedule 1. Maintains current knowledge of block time schedule 2. Assigns appropriate time period for scheduled procedures 3. Maintains relationships with physician schedulers to communicate open time availability 4. Coordinates operating room schedules with physician availablility to maximize utilization of OR time D. Consults appropriately with the operating room manager 1. Surgeon requests which deviate from normal scheduling procedure, including duration, out of block scheduling, special requests, and end of day extensions 2. Efficient use of block time: adhere to block release policy, room consolidation where possible 3. Verification, as necessary, of procedure name, pick sheet selection, and physician privileges SECTION V - continued FUNCTIONAL PERFORMANCE STANDARDS AND RELATED MEASUREMENT CRITERIA: Performance Standards Measurement Criteria 4. Scheduling conflicts E. Notifies Ellis Health Center Surgical Center of scheduled short stay patients F. Booking sheets will be processed on the same day they are received 1. Confirmation will be communicated with the physician schedulers and procedures followed to accommodate requests when possible 2. Assistance is requested from the nurse manager as needed. G. Electronically transmits or delivers surgery confirmation sheet and related documentation to the designated departments upon completion of surgery scheduling H. Daily schedules are finalized and transmitted to the designated departments and individuals before 1700 I. Schedule selected patients for preadmission testing at the correct campus within the scheduling grid 1. Works cooperatively with the preadmission testing staff to develop scheduling patterns which promote and efficient patient flow through the PAT process 2. Request telephone encounter registration for patients not scheduled for PAT J. Submit Total Joint Schedule prior to the end of the month 1. Communicates additional total joint scheduling to the Operating Room Supply Coordinator K. Transmit all requests for special equipment, instrumentation, and supplies at the time of booking to the Operating Room Supply Coordinator SECTION V - continued FUNCTIONAL PERFORMANCE STANDARDS AND RELATED MEASUREMENT CRITERIA: Performance Standards Measurement Criteria L. Adheres to hospital policies and procedures related to: + Mandatory Education + Annual Health Assessment 1. Locates policies in the organizational policy manual K. In addition to the above responsibilites, the lead surgery scheduling coordinatoar will: 1. Maintain awareness of status of the booking queue 2. Assign weekly tasks to scheduling staff members 3. Monitor time request room 4. Review, finalize and distribute daily surgical schedule 5. Compile and distribute statistics as requested 6. Salary Range: $17.46- 25.32 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
