I             Accountability Objectives:

Responsible for facilitating efficient and service-focused delivery of patient scheduling of Surgical and Endoscopy patients, as performed by Patient Access Rep/Surgery. Reviews and audits daily scheduling reports and expertly consolidates the Operating Room schedule to ensure accurate and efficient procedure boarding, surgeon time, and available staffing or equipment needs.  Ensures that both the physician practice experience is positive, with follow-up as needed to ensure satisfaction. Works closely with Patient Access department to ensure correct scheduling of patients and encounters in all surgical areas.

II            Position Qualifications:

Minimum Education, Licensure / Certification and Experience Required.

A.        Education

•              Associates degree in business, management, public relations or related field or equivalent work experience required.

C         Special Skill / Aptitudes

Knowledge of computers with proficiency in applications such as Word, Access, Excel and Powerpoint.  Experience working with EPIC, preferred.Ability to organize tasks and retain a variety of detailed procedures as well as problem solve and devise acceptable solutions based on established policies and procedures.Advanced interpersonal, listening and communication skills necessary to interact effectively and negotiate with physicians and their office personnel.High level of professionalism and customer relations.  Courteous and mature to handle a wide variety of tasks, problems and interactions with tact, sound judgement, creativity and perseverance.Self-directed, proactive, and solution-oriented in approach to fast-paced work and serving the needs of internal and external clients.Excellent customer service orientation skills necessary in order to deal effectively with various levels of hospital personnel, outside customers and community groups.

II            Position Qualifications:

Minimum Education, Licensure / Certification and Experience Required.

D.        Experience

2 years previous medical office working experience with medical terminology and ICD-9-CM and ICD-10CM coding experience and knowledge of third-party payers.Experience scheduling in EPIC scheduling systemsPrevious perioperative/surgical office experience.

III          Duties / Responsibilities:

Demonstrates expertise, knowledge and competency in EPIC scheduling system. Independently schedules procedures for Surgery/Pre-Admission Testing (PAT) and Endoscopy, coordinating with Radiology utilizing established department protocols in EPIC Initiates the scheduling of all Inpatient, Outpatient and Endoscopy patients in EPIC via phone or fax in accordance with department policies and procedures. Responsible for correctly confirming, entering or updating patient demographics, surgical procedures, diagnosis, the date and time of the surgery. Reviews surgery schedule to identify potential cases scheduled in the wrong location/wrong patient type. Coordinates surgeries with ancillary departments as necessary allowing for appropriate sequence and time in accordance with department needs and/or physician requests. Collaborates with designated department clinical personnel to facilitate add-on/emergent procedures, for guidance regarding any questionable or unusual requests, and interacts as necessary to resolve resource conflicts that may necessitate scheduling changes or authorization to override the schedule. Reviews and audits daily scheduling reports and expertly consolidates the Operating Room (OR) schedule on a daily basis to ensure accurate procedure boarding, surgeon time, OR efficiency, available staffing or equipment needs as well as physician and patient satisfaction. Investigates cases using the scheduled current procedural terminology (cpt) code, compared to the Medicare Inpatient only cpt code list, contact the physicians and updates cases as needed. Works closely with patient access department to ensure correct scheduling of patients and encounters in all surgical areas. Maintains the build in EPIC of surgeon and specialty specific block time and templates for the

Ambulatory Surgery Center (ASC), Main OR and Endoscopy. Makes changes or adjustments according to utilization and direction from Nurse Managers.  Additionally supports Provider privileging maintaining "No bed" status, as needed.

Collaborates and communicates effectively with service coordinators, clinical leaders and OR managers when in need of guidance. Trains new staff and continues educating existing staff on EPIC system, updates and changes in scheduling processes Provides office visits to new and existing physician offices giving individual and personal education on scheduling processes at SJMO. Schedules departmental meetings, records and distributes minutes of information and feedback provided.  Attends meetings with ancillary departments to maintain and improve scheduling practices. Performs other duties as required by manager.

In accordance with unit or departmental practice, actively participates in on-going education and communication regarding revenue management.

In accordance with unit or departmental practice, assists with tracking and monitoring of equipment assigned to the unit.  Requests services for maintaining equipment as needed.

In accordance with unit or departmental practice, proficient with the electronic health records for documentation, assessment, and care management, performing these activities concurrently with provision of care throughout the shift.

Requires ability to sit for long periods of time (up to 90% of shift) using a computer terminal, typing, and answering phones.Normal office environment with little exposure to excessive noise, dust and temperature.
