Landfill Operations Administrative Specialist

Are you an administrative guru who is great at providing terrific customer service, tech-savvy, and a great team player? As an Administrative Assistant, you will be providing office and administrative assistance to the Landfill Operations Division within the Solid Waste Department. Apply today to join this dynamic team in helping to support the department’s vision and mission to deliver exceptional solid waste services to our community that are safe, reliable, cost-effective, convenient, and sustainable.Provide internal and external customer service, act as first point of contact, including screening visitors, emails and calls, maintaining entry logs, and coordinating daily site access as needed.Provide administrative and clerical support to high-level management (operations manager and supervisors), including scheduling appointments and maintaining calendars.Perform various financial functions, including submitting purchase order requests, verifying invoice payments, processing vendor requests (new and reactivated), OnBase insurance uploads, OnBase Clerk reimbursements, journal entry reconciliations, and separation of duties to receive and log payments/checks.Research and gather information, including routine budget reports, project statuses, exporting spreadsheets from various software, etc.Coordinate logistical requests (office supplies, uniforms, safety equipment, service vendors as needed, etc.).Arrange travel and provide related assistance for staff.Support asset management efforts including fixed assets scanning, records retention (including compliance with public records requests and Sunshine Laws), asset disposition forms, and building signage review and replacement coordination.Serve as a division representative and assist staff with Workday, Daily Disaster Logs, etc.Handle and coordinate mail/packages for receiving and distribution and general copying and filing needs.Support and coordinate facility needs, including cleaning staff/oversight, and maintenance/repair requests.

Work Hours: Monday - Friday, 8:00 a.m. - 5:00 p.m.

About You

Minimum Qualifications:  

A High School Diploma or its equivalent.

Two (2) years of clerical, administrative, and computer experience with some executive exposure.

-OR- A college degree and one (1) year of clerical, administrative, and computer experience with some executive exposure.

Physical Demands:  Must occasionally lift and/or move more than 50 pounds.

About Everything Else

Starting Pay Range: $21.63 - $22.00, based on experience
