Job Overview: We are seeking a highly organized and efficient Executive Assistant to support the President of KJUS. The ideal candidate will be a proactive and resourceful professional with excellent communication skills and the ability to handle a wide range of administrative tasks. This role requires a high level of confidentiality, attention to detail, and the ability to work in a fast-paced and dynamic environment.
Your main tasks:
High level of general administrative support: phone calls, scheduling, reporting, etc. 35%
Manage the President’s day-to-day duties, including but not limited to, managing calendar and contacts, scheduling appointments, checking messages Coordinate conference calls, webinars, and meetings, preparing necessary reports, agendas, and dial-in information Take minutes when required and ensure follow-up on action items Act as a primary point of contact between the President and internal/external stakeholders, ensuring effective communication and timely responses Support in placing orders for internal/external stakeholders Ensure the President's calendar accuracy and punctuality for all appointments and calls Create various data-driven reports and analysis in Excel for President Provide IT support for Outlook to ensure proper functioning and synchronization of computer and phone
Travel arrangements, support, and expenses 15%
Arrange domestic and international travel logistics, including flights, accommodations, and transportation Support in preparation and oversee travel budget for President and other associates Prepare documents, clothing samples, and travel information needed for President’s meetings and trips Review and approve expense reports for N. America office staff, reporting monthly employee travel costs to the President Support the President with execution decisions when the President is traveling and unable to be reached Prepare, submit, and track expense reports for President
Support, coordinate, and collaborate on special projects, which are often complex and highly confidential 20%
Maintain an up-to-date and accurate contact database, regularly connecting with VIP contacts on behalf of the President Manage the daily flow of general business operations at the North America HQ, assisting the President with various special projects and initiatives Handle sensitive and confidential information with the utmost discretion Support marketing department to ensure timely delivery of catalogs, gifts, and product for retailers and events; pack, prepare, and mail such packages Proactively gather and provide data for President to make better-informed decisions Step into other roles during employment gaps, making independent resolutions for business continuity

Draft, edit, and proofread correspondence, presentations, and reports on behalf of the President Assist in creating presentations, including PowerPoint decks, for meetings and parent company needs

Experience
Minimum 4 years of related experience High school diploma or equivalent, college degree highly preferred Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams, etc.) Reliable, detailed, and organized with strong verbal and written communication skills Ability to maintain private and confidential matters related to the organization and/or employees
