The successful candidate will be hired at the minimum salary. The essential function of the position within the organization is to provide various advanced administrative, organizational, coordinating, and clerical support tasks for the Data Governance Officer. The individual in this position must have experience in secretarial and clerical work and familiarity with gathering and entering data. The position requires initiative, good judgment, professionalism, follow-through, the ability to multi-task and readily adapt to fast-changing priorities, organizational and writing skills, and a strong work ethic. Frequent work contacts are made with other departments of the Judiciary, the Administrative Office of the Courts, court partners, stakeholders, and the public. The position reports directly to the Data Governance Officer. Responsibilities + Provides administrative support to the Data Governance Officer by screening calls and visitors; providing information, resolving immediate issues, directing callers/visitors to proper personnel, or taking messages. Makes copies, organizes folders, schedules appointments/meetings and maintains calendars; keeps supervisor apprised of appointments throughout the day. + Performs data collection and entry. Gathers and maintains information/data to prepare periodic and special reports. Maintains data sets for each Court division. + Attends meetings and takes notes, disseminates meeting information and other relevant information as indicated and maintains SharePoint folders for easy access in order to assist unit. + Attends circuit mandated or recommended training or other professional classes as directed. + Performs related work as required. Qualifications + Bachelor's degree from an accredited four-year college or university in judicial administration, public or business administration, criminal justice, or a related field. + Two (2) years of professional experience in an administrative support role. Knowledge, Skills and Abilities (KSAs): + Ability to operate standard office equipment including personal computers and word processing and data entry applications for case management. + Coordinates time, place, or sequence of operations and activities based on analysis of data. + Excellent computer software knowledge in Microsoft Office 365, including but not limited to Outlook, Word, SharePoint, knowledge of Sequel and Power BI and Excel. + Understanding of Case management systems such as Odyssey, Criminal Justice Information System (CJIS), and other case management systems as required. + Knowledge of office equipment usage such as computers, printers, copy machines, and phones. + Strong problem-solving skills and detail oriented. + Ability to compile, examine, evaluate data and general understanding of statistics. + Ability to perform simple math such as addition, subtraction, multiplication, division, ratios, rates, and percentages. + Ability to communicate effectively and professionally both orally and in writing. + Ability to comprehend verbal and written instructions, procedures, or work orders. + Ability to compose business letters, complex reports, and manuals. + Ability to speak formally to groups inside and outside the organization. + Ability to assist in the development of manuals, guidelines, and other court related materials. + Ability to change priorities and job assignments based on changing deadlines.
