Integrated Facilities Management Coordinator

With offices in Caguas, PR, Boston, MA & San Francisco, CA and we serve life sciences clients in six global markets: United States, Puerto Rico, Dominican Republic, Mexico, Germany, Canada, and South America.  Essential Functions: + The IFM Coordinator work is managed under a Site Lead or a Facilities/Utilities Supervisor. Work encompasses planning, field coordination/execution, and oversight of activities as follows: + Utilities operations, maintenance and repair of Plant Steam Boilers, Industrial Chillers, Cooling Towers, Compressed Air, UPS, Emergency Generators, Electrical Distribution, Building Management System (BMS) and Process Controls Network (alarm management and notifications), City/Well Water, Heating/Hot Water, and Waste systems. + Facilities operations, maintenance and repair of doors, elevators, electrical systems, structures, roofs, ceilings, walls, general surfaces, piping, drainage, fire protection, etc. + Soft services such as janitorial, landscaping, pest control, among others + Ensure adequate execution of the procedures related to the operations and maintenance associated to IFM scope. + Oversee all work is safely performed and in GMP compliance. + IFM coordinator handle building/utilities/equipment emergencies on an ongoing basis and serve as a liaison between company employees and outside contractors called in to fix problems. Educational or Equivalent Requirements: + Bachelor's degree in science and relevant work experience of 3-5 years in a technical position. AD in technical field with relevant work experience of 7-10 years could serve as equivalency. + Facility and Utilities Management experience of over five (5) years Specific Duties, Activities and Responsibilities: + Ensuring all tasks are performed following established safety and maintenance procedures and maintaining cleanliness and condition of tools used, shop floor and utility areas. + Communicate with facilities/maintenance/utilities supervisor and/or technical manager about on-going issues and ability to provide resolution with proper documentation and root cause analysis. + Help or lead major problem troubleshooting as they occur on Plant Steam Boilers, Chillers, Cooling Towers, Emergency Generators, Process, and Water Systems, Compressed Air, Bio Waste and Industrial Waste, Heating Hot Water Skids, and other equipment in the Utility Room as required. To accomplish this, the individual must have knowledge and understand all aspects of equipment operation and maintenance. + Manage building, utilities and equipment maintenance plans and schedules and emergencies by creating action plans. + Oversight testing of building security systems, as required. + Determine the cause of mechanical/electrical breakdowns on utilities/facilities equipment/systems ensuring the return of equipment to proper operating order in minimum time. + Order materials, spare parts, replacement parts as required. + Maintains knowledge of the CMMS electronic work documentation system, BMS System as required for operating equipment and troubleshooting issues as they relate to equipment and the buildings Utility Systems. Completes tasks and associated documentation timely ensuring data integrity and following GMP’s and GDP’s, mentors and teaches other team members. + Able to technically support PM and/or CM when required by technicians. Ability to troubleshoot advanced equipment and systems and determine the best course of action to provide RCA and corrective requirements on equipment/instrumentation and systems. + Provide ongoing insight to other Technicians and Supervisors where SOP’s and PM Job Plans are to be updated based on current operations. + Gains support of customers, technicians, and supervisors to eliminate roadblocks and drive process improvements. Engages with customers and engineers, exchanging information and knowledge to improve the process or system. + Trains Workers in work procedures and the proper use and maintenance of equipment. + Plan future building space and supply needs for the Site. + Communicate daily with suppliers and update company executives regularly. + Schedule preventative maintenance, respond to urgent maintenance calls and participate in the creation of emergency preparedness plans. + Review furniture needs and keep the office supply and kitchen areas stocked, as required. + Perform cost-benefit analysis. + Support to any related Investigation and CAPA. Including Quality Calendar, Quality Plans, EHS Plan, Self-Inspections actions, BMP, C-Seguro actions. Perform Root Cause Analysis. + Develop, revise and/or conduct trainings for SOP's (Quality, EHS and Facilities Maintenance). + Audit facilities areas for compliance with standards set by the Maintenance, Quality & EHS Owner's Departments. Areas to audit should be, as a minimum, Housekeeping, Pest Control, Work Order Compliance, Maintenance Program, Contractor Safety Program, Refrigerants Program (RCM) and Gap assessments. + Perform work field inspections, as requested. + Comply with Pest Control and Refrigerant Programs, as required. + Landscaping (Building & Grounds) program. + Support to EHS programs and Site’s KPIs development, discussion and presentation. + Support to additional areas and programs such as Fit & Finish, Cafeteria, Fountains, Warehouse, Fire System, and Elevators, as per contract. + Support Contractor Safety program. + Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job. + Duties, responsibilities and activities may change at any time with or without notice. He/ she may frequently work inside weather conditions, near moving mechanical parts, exposed to wet and or humid conditions, and an odorous atmosphere, may be exposed to fumes and the risk of electrical shock, and occasionally work on ladders in high places, in small spaces, such as lift/metering stations, manholes, tanks and wet wells. The noise level in the work environment is usually moderately loud.
