Position Summary:
The HR Administrator is responsible for providing comprehensive administrative support to the Human Resources division, with a primary focus on employee onboarding, terminations, record-keeping, and compliance-related tasks. This role ensures the accurate and timely entry of employee data into the HRIS, manages unemployment processing and audits, facilitates CDL recertifications, and assists with general HR administration. The HR Administrator plays a key role in maintaining organized employee records and ensuring compliance with company policies and regulatory requirements.
Performs duties in alignment with the 2019 - 2024 COTA Strategic Plan and in support of the organization's vision To Move Every Life Forward.
This Position is Responsible For:
+ Accurately onboards new hires and rehires into the HRIS, ensuring all required information is entered and verified in a timely manner. Accurately processes employee terminations in the HRIS, ensuring proper documentation and compliance.
+ Tracks and coordinates Commercial Driver's License (CDL) recertifications for employees; maintain up-to-date records of CDL certifications and related documentation.
+ Ensures timely reminders and follow-up actions to maintain compliance with regulatory requirements.
+ Administers the process of creating and maintaining personnel files for employees; pulls and maintains out-of-service files. Manage the successful filing of employee documentation, including offer letters, contracts, policy acknowledgements, certifications and compliance related forms. Assists in auditing new hire paperwork to ensure files are complete and all policy-related and legal forms are signed.
+ Executes the personnel action process and enters personnel and salary data into HRIS platform on hires, out-of-service, position changes, and changes relating to sign-ups for represented employees;
+ Assists in the implementation and/or training of HRIS conversions or introductions and monitors performance for improvements.
+ Handles unemployment claims including gathering necessary documentation and responding to agency inquiries;
+ Maintains accurate records related to unemployment processing and assist with audits as needed; and
+ Works closely with HR leadership to address and resolve unemployment- related matters.
+ Assists with new hire orientation and employee engagement initiatives;
+ Responds to employee inquiries related to HR policies, procedures and systems;
At Minimum You'll Need:
+ A high diploma or GED and five (5) years of experience in human resources and/or HR software or systems. An associate's degree in human resources or related field is preferred. An equivalent combination of education and experience will also be considered.
