HRIS Operations Specialist (Potential future opening(s))
The HRIS Operations Specialist oversees the workflow, compliance, and systemic transactions from the point an applicant accepts an offer forward through day one of hire. This role combines Workday transactional experience with administrative People Operations processes. The HRIS Operations Specialist is responsible for management of the candidate preboarding and onboarding process (Verbal accepted offer in Workday through candidate participation in general hospital orientation for general employee through executive hires). The HRIS Operations Specialist is independently responsible for all post offer activities in Workday, contacting the candidate to schedule the new hire medical clearance, new hire forms and materials, coordinating with outside vendor for referencing, background checks and verification of education requirements. The HRIS Operations Specialist performs primary source verification of licenses/ certifications when applicable. The HRIS Operations Specialist is responsible for all hire and transfer transactions in addition to changes in start date and hire rescinds in Workday. The HRIS Operations Specialist is the point of contact for all candidate interactions after the offer is accepted including communication of any issues related to background checks and offer rescinds. The HRIS Operations Specialist is responsible for ensuring new hires complete Workday onboarding. The HRIS Operations Specialist participates in new hire orientation and the completion of the I-9 & eVerify. Adhering to standard work, the HRIS Operations Specialist processes the completion of the pre-hire & hire portion of the personnel file. The HRIS Operations Specialist adheres to standard work processes and established turnaround time. Actively initiates and participates in performance improvement activities in the department. Assures compliance with Homeland Security law, OFCCP, JC, DPH, state and federal employment law and other regulations. The HRIS Operations Specialist takes a lead role in planning, executing, and onboarding for all businesses transitioning into Baystate Health. Job Responsibilities: Responsible for daily oversight of the preboarding and onboarding process. Takes over recruitment process immediately after the offer is verbally accepted by the candidate. Receives notification in Workday and a welcome email from the recruiter to begin reaching out to the new hire to schedule preplacement physical, send DocuSign paperwork and additional information. Books medical exam in OHM. Assures a physical demand form is on file. Confirms if candidate is a new hire or rehire, transfer, or add concurrent job and ensures that candidate status is accurately reflected in Workday (i.e. prior worker) Verifies positions/ job code information accuracy. Sends candidate preboarding forms and materials necessary for completion prior to preboarding appointment. Responsible for ensuring Workday onboarding is complete prior to day one. Facilitates the transfer process in Workday where needed, adds information to EHS transfer list. Reviews applicant screening questions for accuracy, audits candidate rehire or transfer eligibility. Completes primary source verifications. Obtains background clearance, education, and employment verification from background check vendor. Verifies any required certifications are current. Handles a variety of transactions related to initial employment and associated changes including hires, transfers, changes in pay and scheduled hours with a high level of accuracy. Reviews data for accuracy of required information and approvals, applying the date to appropriate fields of the HRMS within prescribed time limits while recognizing payroll processing implications of transactions. Knowledge of Position Management and how it effects job changes Updates new hire status in a timely manner for bi-weekly huddles. Manages candidate clearance, and onboarding to ensure completion and clearance for orientation. Manages candidate start date changes and rescinds in a timely manner. Generates the centralized General House Orientation (GHO) lists for use by onboarding HR departments. Generates the Nursing Orientation lists and provides to Nursing Staff Development. Runs other reports and queries as needed using knowledge of Workday, OHM and MS Suite. Communicates production issues of demand, overburden, etc. to manager along with suggestions for resolution Takes initiative to independently problem-solve and escalates appropriately Participates in performance improvement activities related to workflow, onboarding, diversity hires, regulatory compliance. Assists in piloting new processes Participates in planning and executing the onboarding of groups of new employees through residency cohorts, business acquisitions, mergers, etc. Maintains familiarity with application data flow and comprehension of how inputted information affects downstream departments, timely entry for data accuracy. Maintains workflow in accordance with Standard Work in a timely fashion. Measures touch time and flow time to ensure compliance with standard; Maintains workflow within established turnaround time Maintains exceptional customer service; Demonstrates professional presence Maintains general knowledge of BH policies and operations to include: esarf, direct deposit, parking, security, badges Maintains general knowledge of employment law, JC, DOH, DPH, OFCCP, homeland security law as it pertains to Talent Acquisition. Maintains understanding of federal and state income tax forms and I-9 forms & eVerify Serves as a resource to Talent Acquisition Consultants, HRA's, EHS, HRSC, Compensation, and HRC customers. Required Education: HS Diploma/GED Required Work Experience: 1) 2+ years of high-volume HR experience; 1+ years customer service experience Preferred Work Experience: Experience with Workday; proficiency with HCM Must be able to work independently Excellent customer service, communication, and organizational skills Typing proficiency, Intermediate level user of Microsoft Office Word, Excel and Outlook Demonstrated oral and written communication skills.
