HR Operations Coordinator

The HR Operations Coordinator oversee daily HR administration tasks and offer support across various departments as needed and is the primary point of contact for employee inquires related to HR, managing questions and concerns through channels such as the HR hotline and HR Coordinator inbox. The HR Operations Coordinator helps identify and implement opportunities to enhance processes, increase efficiencies, and support continuous improvement efforts within HR. This includes coordinating employee offboarding and administering the employee services and discount programs.
**MAJOR RESPONSIBILITIES** **:**
+ Facilitating Employee Offboarding: communicating with employees separating from the Bank, their managers, and the HR Business Partner team. Scheduling exit interviews; working with Technology to manage equipment pick up; submitting Years of Services payment requests for Retirees, and responding to unemployment claims. Compiles data from exit surveys for review by the Business Partnership team.
+ Compliance Support: Supporting records management activities; maintain employee files; ensure all sites have updated employment law posters; ensureI-9 and work authorization compliance for terminated employees and; track employee warnings and help with quarterly metrics. Supports the Talent Management Director and HR Operations Manager with audit activities and performs quality control of employee records.
+ Administrative and Project Support: Provides administrative and project support to the HR Business Partners and HR executive staff; provides backup support for New Colleague Onboarding activities and manages invoices and office supplies.
+ Manages Employee Services and Discounts: Responds to requests for discounted tickets and is the point of contact for discount vendors; sends employee announcements and coordinates floral and gift arrangements to employees and their families following births and deaths.
**PROBLEM SOLVING & DECISION MAKING** **:**
Under the direction of the VP, Human Resources Operations Manager, responsible for supporting the employee life cycle, including onboarding, employee engagement, and offboarding.
**REQUIREMENTS** **:**
**Education and Experience**
+ High school diploma required; Associates degree preferred.
+ 2-5 years progressive administrative experience, preferably in HR.
**Skills/Knowledge**
+ Must be able handle sensitive information with the highest level of confidentiality and in line with data protection standards.
+ Superior written and verbal communication skills with professional telephone manner and ability to interact with all levels of employees/management required.
+ Proficiency in Microsoft Office applications, particularly Outlook, Excel and PowerPoint is required.
+ Experienced with V-look up and pivot tables preferred.
+ Strong organizational and attention to details skills.
+ Excellent customer service and interpersonal skills.
+ Effective problem-solving skills with a strong sense of urgency.
+ Follow-up, follow-through, and timely resolution skills.
**Working Conditions**
Hybrid. Working 3 days in the Lynn, MA office. This position will move to Wakefield in 2025.

The employee is occasionally required to move about inside the office to access file cabinets, office machinery, etc. They also occasionally travel to locations outside of the facility, to attend meetings, trainings, events, and other business. The employee occasionally positions self to maintain or access files in file cabinets. The employee must have the ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations. The employee frequently observes details at close range (within a few feet of the observer). The employee must occasionally lift and/or move boxes or equipment up to 20 pounds across office for various needs.

Persons holding this position are generally subject to inside environmental conditions having the lighting, temperature, and noise level of an open floor-plan office environment (moderate, but occasionally loud at times). This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
