Purpose

Assist the day-to-day operations of the Occupancy Management area, including but not limited to the application, contract, and assignment processes for all residential facilities owned and operated by University Housing and Dining (UHD). Provide support to the Manager for Residence Hall Contracts and Assignments and/or Manager for Apartments Contracts and Assignments.

Responsibilities

Perform administrative tasks accurately and efficiently for student entry records via StarRez to include various housing requests such as room selections, cancelation requests, move-in registration, extended stays, and other requests as needed. Draft and issue student housing verification letters as needed. Distribute permits for guests as needed. Assist with mail delivery and payment processing tasks as needed. Maintain and update filing system for housing department. Follow appropriate record retention policies. Maintain confidentiality.

Provide exceptional customer service to internal and external customers. Accurately answer housing and dining inquiries from families, students, and staff, and visitors. Provide assistance to visitors as needed. Monitor and promptly respond to inquiries via phone and email. Address student concerns independently and tactfully.  Evaluate policies and procedures in order to create and improve operational efficiencies, and customer services.

Maintain housing occupancy within the UHD residential facilities using StarRez (housing software). Assist the implementation of the online housing application, contract, room assignment, and move-in schedule. Provide feedback for processes to maximize efficiency. Create and maintain occupancy reports.

Collaborate with internal and external partners to generate room assignments. Communicate with Residence Life and Facilities staff to process room changes, check-ins, andcheckouts. Complete special assignments for Athletics, Services for Students with Disabilities (SSD), Texas Work Force Commission, Living Learning Communities (LLC’s), Staff Assignments, Honors Housing, Supplemental Housing, and any other special assignment groups.

Assist with presenting UHD information sessions for perspective students and families. Conduct UHD presentations as needed.  Provide information regarding Occupancy Management processes at information sessions or tabling events. Conduct residence hall tours. 

Assist training and developing student staff that support the front desk and department mail delivery.

Required Qualifications

Bachelor's degree and one year of experience at the Administrative Assistant level, or high school graduation/GED and five years of clerical experience.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Three years or more of experience at the Administrative Assistant level.

Three years or more of experience in customer service.

Experience in leasing and or housing contracts.

Experience working in a university setting.

Advanced experience using Microsoft Office Suite, specifically Outlook and Excel.

Experience with housing management software, specifically StarRez.  

Experience composing, proofreading, and editing correspondence and other data.

Bilingual in English and Spanish.

Attention to detail and persistence in following through with tasks.

Strong interpersonal and communication skills.  

Strong, positive organizational skills and exceptional customer service skills.

Demonstrated ability to be a team player in a shared office space.  

Salary Range

$45,000+ depending on qualifications

Work Shift

Monday - Friday, 8:00AM - 5:00PM. Occasional nights and weekends may be required. Hours and days may vary due to business needs.
