Starting Wage DOE: $32.06 - $40.07
The Health Information Management (HIM) Supervisor is responsible for supervising staff and managing daily operations within the HIM Department. This role includes overseeing personnel management, staff orientation, and training. The HIM Supervisor collaborates on the development of objectives, policies, and procedures to support the mission, vision, and values of Billings Clinic. They ensure the department maintains established standards, fosters positive customer relationships, and adheres to governmental, organizational, and departmental policies and procedures.
Essential Job Functions
• Develop and oversee department cost centers in alignment with Billings Clinic’s mission, vision, values, and strategic goals.
• Collaborate with physician leadership, medical staff, administration, and healthcare providers to implement and revise short- and long-term plans that enhance departmental services.
• Supervise day-to-day HIM team operations, ensuring workloads and schedules meet departmental standards; escalate competing priorities to the manager for resolution.
• Oversee the full employee lifecycle, including recruitment, hiring, orientation, training, performance evaluations, and disciplinary actions.
• Provide coaching and support to staff to ensure high performance and professional development.
• Conduct regular staff meetings and training sessions to address regulatory updates, procedural changes, and organizational goals.
• Monitor staff productivity and adherence to department standards; implement process improvements to enhance efficiency and quality of services.
• Coordinate service repairs, manage supply orders, and generate required department reports in collaboration with HIM leadership.
• Ensure timely preparation and analysis of department statistics and reports for internal and external stakeholders.
• Serve as a point of contact for customer concerns, identifying appropriate resources and ensuring timely resolution.
• Act as a liaison between staff and leadership to facilitate open communication and shared commitment to organizational objectives.
• Provide consultation on HIM-related issues and promote best practices for customer service.
• Participate in budget planning and monitor department expenses to operate within established financial constraints.
• Maintain compliance with all organizational, departmental, and governmental policies, including HIPAA and confidentiality standards.
• Lead process improvement initiatives to assess and enhance the quality of care and services provided by the department.
• Foster an environment of teamwork, shared responsibility, and commitment to Billings Clinic’s goals.
• Promote a culture of safety, ethics, and continuous improvement throughout the department.
• Provide float and backup coverage for HIM positions as needed.
• Supports and models behaviors consistent with Billings Clinic’s mission, vision, values, code of business conduct and service expectations. Meets all mandatory organizational and departmental requirements. Maintains competency in all organizational, departmental and outside agency standards as it relates to the environment, employee, patient safety or job performance.
• Performs all other duties as assigned or as needed to meet the needs of the department/organization.
Minimum Qualifications
Education
• Minimum High School or GED
• Preferred 2 Year / Associate Degree Associate degree in healthcare-related field
Experience
• Five years of experience in the health information management field in a hospital/clinic setting.
• Demonstrated management/leadership and program management skills related to the above tasks, knowledge, skills, and abilities
Certifications and Licenses
• Registered Health Information Administrator (RHIA) or Register Health Information Technician (RHIT) certification preferred
Or an equivalent combination of education and experience relating to the above tasks, knowledge, skills and abilities will be considered. Employees that require a licensed or certification must be properly licensed/certified and the licensure/certification must be in good standing.
