With the creation of our new umbrella organization we now have our own identity with a unique payroll, benefits, performance management system, service recognition programs and other common practices across the system. *_Position Summary:_* The Health Information Management (HIM) Operations Manager is responsible for the daily planning, work scheduling, and operational performance of document imaging, birth registry, and death certificate completion across the enterprise. Responsibilities include, but are not limited to, providing leadership and guidance to staff engaged in health information tasks, ensuring productivity standards and quality reports meet established departmental goals, and coordinating the workflow of the service areas throughout the organization. The Operations Manager retains 24-hour responsibility but may utilize supervisory staff to operationalize activities. *_Position Responsibilities:_* *Key Areas of Responsibility* *Operational Management: * · Oversees all quality aspects of document imaging, birth registry, and death certificate completion. · Monitors workflow efficiency and identifies areas for improvement, implementing changes to optimize processes and productivity. · Attracts, motivates, and coaches talent to achieve the health information management goals of the organization. · Delegates, supervises personnel, solves problems, makes decisions, and develops systems and processes for successful integration and implementation. · Participates in interviewing, hiring, scheduling training, and evaluation of staff. · Develops, promotes, and monitors a culture of efficient results and customer-oriented services. · Conducts staff meetings to obtain ideas, suggestions and concerns as they relate to specific operations and make changes resulting in system improvements as necessary. · Develops training programs for new employees and performs appropriate follow-up to assure adequate performance. · Documents performance at designated intervals to assist in evaluation during probation period and annual performance evaluations. · Determines priorities and timelines for team projects and adjust as necessary to ensure projects are completed in a timely manner. · Seeks guidance from the director and/or upper management given unusual or unanticipated circumstances that require deviation of policy/practice or allocation of funds to resolve. · Independently carries out and is accountable for daily operations and other assigned activities. *Compliance and Regulatory Oversight:* · Maintains compliance with HIPAA Regulations. · Conducts regular audits to identify potential compliance issues and implement corrective actions. · Stays updated on industry changes and best practices to ensure the department is compliant with the latest regulations. *Data Analysis and Reporting:* · Serves as the department’s data steward and information liaison to produce data reports and provides design assistance and input regarding the electronic medical record. · Develops, implements, and maintains organizational wide policies, procedures, and reports to monitor the success of the data management plan, reviews areas of risk, investigates identified issues, reports data analyses, and takes appropriate steps to correct issues. · Generate reports on key performance indicators (KPIs) related to data accuracy and patient record management · Collaborate with clinical teams to interpret data and identify areas for improvement in patient care *System Management:* · Acts as the Information Services (IS) intermediary to resolve problems with all the electronic systems utilized throughout the department. · Manage and maintain the electronic health record (EHR) system, ensuring optimal functionality and data integrity · Implement new technology solutions to enhance data management and reporting capabilities *Stakeholder Collaboration:* · Works collaboratively with multidisciplinary teams to report assessments to various committees. · Collaborate with clinical leadership, billing department, and other healthcare providers to ensure smooth data flow and communication · Participate in departmental and organizational committees to discuss and implement healthcare information management strategies *_Working Relationships:_* *This Job Reports To (Job Title):*Director of HIM Operations *Number-Direct Reports:*30 *_Requirements and Specifications:_* *Education* · Minimum:Bachelor’s degree in Health Information Management (HIM). Four (4) years of relevant experience in Healthcare may be considered in lieu of degree, in addition to the required experience below. · Preferred:Bachelor’s degree in Health Information Management (HIM) *Experience* · Minimum: Three (3) to five (5) years’ experience in planning and implementing mid to large scale projects, including two (2) years supervisory and management experience. · Preferred:Extensive project management experience.
