Your Responsibilities: As a Health Care Officer (HCO) Assistant, you will manage administrative tasks related to sponsoring and grants requests, ensuring compliance with Mdeon rules and GSK guidelines. This role will provide YOU the opportunity to lead key activities to progress YOUR career, these responsibilities include some of the following: Ensure all received sponsoring and grants requests are in line with Mdeon and GSK guidelines. Coordinate the signatures of the contracts with sponsoring/grant requesters. Review questionable files with the manager and compliance officer. Organize training for newcomers involved in the sponsoring/grant process. Conduct annual refresher training for the sales teams. Review actual costs on a quarterly basis with finance partners. Update grant templates in coordination with Pharmaceutical Governance. Oversee and execute the operational Sponsoring and Grants processes brilliantly. Maintain accurate records and documentation for audit purposes. Foster collaborative relationships with internal and external stakeholders. Why you? We are looking for professionals with these required skills to achieve our goals: You have experience in admin support, with the ability to quickly understand the pharmaceutical environment and processes. You have an excellent command of both English and French. A good knowledge of Dutch is a strong asset. You have a Bachelor's Degree or equivalent experience in Admin or Business Administration. You have advanced IT skills, including proficiency in Microsoft Outlook, PowerPoint, Word, Excel, and SAP. Demonstrable experience in providing secretarial support to senior leadership via email, phone, and face-to-face interactions. Excellent organizational skills with high attention to detail, including the ability to handle complex travel arrangements and organize cross-site events. Assertiveness, diplomacy, empathy, and positivity. Resilient, flexible, and able to quickly adapt to stakeholders and new ways of working. Integrity, rigor, and proactivity.
