As the General Office Clerk, you’ll play a pivotal role in ensuring the operational efficiency of the office while supporting the team in delivering top-quality service. A growing service company is looking for a General Office Clerk to assist with the administrative and clerical tasks that are essential to the daily operations of the business. Key Responsibilities:
+ Clerical Support: Perform various administrative tasks, including filing, data entry, photocopying, scanning, and faxing documents as required.
+ Document Management: Maintain organized physical and digital filing systems to ensure accurate and easy retrieval of records.
+ Reception Duties: Greet visitors, answer incoming calls, and direct them to the appropriate department or staff member.
+ Mail Processing: Sort, distribute, and prepare outgoing mail, including packages and courier services as needed.
+ Inventory Oversight: Monitor and order office supplies to ensure the office is fully stocked at all times.
+ Data Entry: Input information into databases and verify accuracy to support company programs, projects, and reporting requirements.
+ Scheduling Support: Assist with scheduling meetings, appointments, or events, and coordinate room or resource reservations as needed.
+ Correspondence Assistance: Draft and proofread basic correspondence, emails, and memos in a professional and timely manner.
+ Support Various Teams: Provide administrative assistance to various departments as required, ensuring cross-functional collaboration and efficiency.
+ Maintain Office Equipment: Help with troubleshooting and maintaining office equipment such as printers, copiers, and fax machines. Coordinate with vendors for repairs when necessary.
Requirements
Qualifications:
+ Education: High school diploma or equivalent required. An associate degree in business administration or a related field is a plus.
+ Experience: Previous experience in an administrative, clerical, or office support role preferred.
+ Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic familiarity with office-related technologies (e.g., scanners, copiers).
+ Communication Skills: Strong verbal and written communication skills with the ability to interact professionally with all levels of staff, clients, and vendors.
+ Organizational Skills: Exceptional attention to detail and ability to prioritize multiple tasks effectively to meet deadlines.
+ Flexibility: Demonstrated ability to adapt to changing priorities in a dynamic and fast-paced environment.
