A transportation company is seeking a General Office Clerk to handle a variety of clerical and administrative duties to support its day-to-day operations. Key Responsibilities:
+ Clerical Tasks: Perform general administrative tasks such as data entry, filing, photocopying, scanning, and organizing documents to support business operations (Source: RH Acronym Guide.docx).
+ Communication Management: Answer, screen, and direct phone calls professionally; respond to emails and other correspondence promptly.
+ Document Preparation: Assist in preparing and proofreading transportation-related documents (such as invoices, schedules, and delivery logs) for accuracy and efficiency.
+ Records Management: Maintain organized filing systems (physical and digital) for tracking shipments, deliveries, and administrative records specific to the transportation industry.
+ Scheduling Support: Help coordinate driver schedules, logistics appointments, and maintenance schedules for company vehicles.
+ Mail Handling: Sort, distribute, and prepare outgoing mail, including courier packages or other documentation important to transportation processes.
+ Data Entry & Reporting: Accurately enter data into company systems, including driver logs, customer requests, and route details, and generate standard reports as required.
+ Customer Service: Act as the first point of contact for customers, providing basic information and directing inquiries to the appropriate team member or department.
+ Supply Management: Monitor and maintain office supplies, including forms, paper, and vehicle-related inventory, ensuring timely reorders as needed.
+ Team Collaboration: Collaborate with dispatchers, drivers, and other company personnel to ensure seamless communication and resolve any workflow issues.
+ Compliance Support: Assist in the organization and tracking of regulatory compliance documents, such as safety certifications and licensing requirements
Requirements
Qualifications:
+ Education: High school diploma or equivalent required. Coursework or experience in business administration or logistics is a plus.
+ Experience: At least 1-3 years of administrative, clerical, or office support experience; experience in transportation, logistics, or related industries is preferred.
+ Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and the ability to learn industry-specific software programs.
+ Communication Skills: Strong verbal and written communication skills, with excellent customer service abilities.
+ Organizational Skills: Exceptional attention to detail, time management, and the ability to prioritize multiple tasks in a fast-paced environment (Source: RH Acronym Guide.docx).
+ Interpersonal Skills: A team player with a positive attitude and the ability to build strong working relationships with drivers, staff, and customers.
+ Problem-Solving: Resourceful and able to troubleshoot and resolve basic issues independently.
+ Transportation Knowledge: Familiarity with transportation industry terminology, logistics workflows, or routing systems is a strong plus.
Work Environment:
+ Office-based role with periodic interaction with drivers and operational staff.
+ May occasionally require light lifting of office supplies or handling of transportation-related documentation.
