The Role
The Front Office Coordinator manages the reception and hospitality experience for Veeva’s Headquarters in Pleasanton, CA. This person must be detail-oriented, exhibit strong customer service values, have proven time management skills, and have the ability to work in an environment that changes daily. This role is professional-facing and works closely with the Workplace Services Team, assisting with daily operations of the office building.What You'll DoProvides the first impression to clients, partners, potential employees, and Veevans.  Act as an ambassador for the companyDemonstrate excellent customer service to guests and Veeva employees concerning office-related requestsMaintain security by following procedures and controlling access (issuing access badges and visitor registration)Assist with facility requests, building maintenance, and vendor coordination to support the Workplace services teamMaintain reception and common area appearances (restocking items as needed). Maintain and stock the inventory of printer stations and office suppliesManage incoming and outgoing mail, shipping (FedEx), and deliveriesProvide administrative and project support to local teams as neededAssist with on-site special events, customer meetings, team building, networking, and social eventsRequirementsMust be able to work in the office daily during business hours, 8 AM – 5 PMPrior customer service or front office experience in a professional business officeExcellent customer service and interpersonal skillsStrong verbal communication and organization skillsSelf-starter with a positive, can-do attitudeGoogle Suite, e-mail, and calendar management experienceIntermediate skills Google Applications (Sheets, Slides, Docs), Canva, etcAdapts quickly to new technologyAble to juggle multiple tasks with efficiency and accuracyAbility to adjust to changing environmentsAbility to lift to 25 lbsNice to HaveExperience working at a technology company, start-up, or hospitality rolePerks & BenefitsMedical, dental, vision, and basic life insuranceFlexible PTO and company paid holidaysRetirement programs1% charitable giving programCompensationBase pay: $20 - $30 per hourThe salary range listed here has been provided to comply with local regulations and represents a potential base salary range for this role. This position may also be eligible for other types of compensation in addition to base salary, such as variable bonus and/or stock bonus.
