About the RoleAs the Receptionist, you will be the first point of contact for all employees, executives, and vendors arriving at our office in the America Free Zone. Your primary responsibility will be to ensure a welcoming and efficient office environment, managing office flow and providing exceptional customer service. You will use your strong communication and interpersonal skills to build positive relationships with visitors and staff, contributing to a friendly and professional atmosphere.
You will report to the Finance/Site Manager and serve as the main point of contact for any inquiries or concerns related to our Costa Rica site in their absence.
Your Area of Focus Maintain and update Standard Operating Procedures (SOPs) related to reception and its processes. Greet all candidates, new employees, and visitors at the reception. Deliver Welcome Kits to new hires remotely. Serve as the main point of contact for deliveries at the premises and coordinate courier services. Receive product deliveries from suppliers. Support the equipment return process for remote work modalities when required by the IT department. Provide on-site support for the IT department and supervisors/managers from other departments (support for activities, delivery of small equipment and/or prizes). Manage and respond to incoming phone calls on the main office phone line, ensuring timely and professional communication. Maintain and manage the visitor log in accordance with company compliance requirements, ensuring accurate records of all visitors to the office. Coordinate reservations for conference rooms, workstations, and huddle rooms. Receive and manage correspondence, invoices, and physical documents related to Tebra and employees (such as Garnishments or Pensions) that legally involve Tebra as an employer. Oversee the game area, TV, and cafeteria to maintain order. Manage parking for employees and visitors. Coordinate lunches for new hires. Arrange reservations for executives from the headquarters (transportation, accommodation, meals). Maintain professional presentation standards at the reception as the face of Tebra Costa Rica. Manage Uber Eats orders and employee travel requests. Serve as a company representative and active member of the Emergency Response Brigade. Collaborate with the snacks and fruit program by distributing them to employees. Accept invoices from Softland to the regulatory entities in Costa Rica. Handle and manage petty cash. Provide support for any events or activities held at the office. Your Professional Qualifications High School Diploma or any Administration Technical Degree. 2+ years’ relevant work experience, preferably as an administrative assistant or receptionist. Excellent English communication skills, both written and verbal. Ability to work your way around computer and office software applications with ease. Excellent attention to detail. High level of professionalism and social etiquette since you will be the face of Tebra in Costa Rica. Excellent time management and organization skills for office workflow procedures and requirements.
