Front Desk Administrator – High-Volume Law Firm
Location: In-Office | Schedule: Mon-Thurs 8 AM - 5 PM, Fri 8 AM - 1 PM
Position Overview
We are seeking a highly organized and professional Front Desk Administrator to manage all reception and administrative tasks for our fast-paced law firm. This role is essential in ensuring smooth office operations and exceptional client service. You will be the first point of contact for clients—primarily individuals seeking Social Security Disability benefits—while handling confidential materials, coordinating with remote attorneys and case managers, and maintaining office efficiency.
Key Responsibilities
+ Warmly greet visitors and professionally handle incoming calls.
+ Accurately input and manage client data using Aderant Total Office (ATO).
+ Process, scan, and distribute incoming and outgoing mail.
+ Manage daily and monthly expense invoices and collection letters.
+ Accept and process client invoice payments over the phone.
+ Maintain office supplies and ensure the office/kitchen is stocked.
Requirements
Qualifications & Skills
+ 10+ years of administrative or front desk experience in a professional setting.
+ Strong computer proficiency with a paperless office mindset.
+ Typing speed of 60+ WPM with the ability to talk and type simultaneously.
+ Experience with MS Word, WordPerfect, Adobe Acrobat Pro, and database systems.
+ High attention to detail and ability to handle confidential information securely.
Work Environment & Requirements
+ Ability to work on the phone using a headset throughout the day.
+ Sit or stand while performing job duties, with occasional lifting (10-15 lbs).
+ Multiple computer screens, adjustable desks, and ergonomic seating provided.
+ Drug and criminal background check required.
🕒 Hours: Monday-Thursday (8 AM - 5 PM), Friday (8 AM - 1 PM), with occasional overtime. 30-minute lunch break.
