SCHEDULE: Full-time ; Monday-Friday 8:00 am - 4:30 pm. Average of 40 hours/week. Must be available for evening and weekend work when necessary.

SCOPE :
The primary responsibility of this position is to assist the Friends Club Director with all aspects of Friends Club, a social and travel club for Hills Bank customers age 50 and better. Core duties are particularly focused on customer communication and the implementation of projects, programs, events, and trips, as well as work with personnel in all areas of the Bank to assist with Friends Club events, membership, and relationship building. They will aid in the development of programming plans and benefits to expand membership and assist with membership tracking and analysis. This position will report directly to the Friends Club Director. The Friends Club Administrative Assistant will work independently and make crucial decisions in the Director's absence.
ACCOUNTABILITIES:
Customer Communication and Processing:
+ Provide high level of customer service to Friends Club members, customers, and prospects.
+ Prepare correspondence to members including new member packets, requests for payment, event and travel paperwork, as well as organize event and meeting presentations.
+ Answer phone calls and emails from members in a timely manner and know the appropriate action to meet their needs.
+ Process customer payments for events, day trips, and extended travel, including checks, credit cards, and cash, and issue refunds when needed.
+ Clearly understand and effectively explain membership requirements to customers and Hills Bank staff. Review customer profiles using the bank's customer databases, Central Information File (CIF) and Customer Relationship Management (CRM), in order to file, approve, and process memberships.
+ Handle a wide scope of administrative functions such as create nametags, arrange bus seating assignments, and file and organize trip information.
+ Maintain a high degree of professionalism and responsibility for confidential and time sensitive material.
Friends Club Programming and Travel:
+ Be well versed with current and upcoming Friends Club events, day trips, and extended travel.
+ Maintain event registration lists, correspondence, and follow-up requests.
+ Assist in planning and executing local events and day trips by connecting with local businesses and attractions. Host events, interact with customers, and escort day trips when needed.
+ Maintain professional relationships with vendors and partners when planning events and travel or placing orders.
+ Provide internal Friends Club support to personnel in all areas of the Bank to encourage partnerships and assist with any needs or requests, including event planning, membership questions, and customer registration processes. This includes serving as the point of contact for staff on the dedicated Friends Club customer call group.
+ Help set up and tear down for events.
Administration:
+ Maintain calendars and deadlines for relevant events, programs, and trip details.
+ Manage Friends Club inventory and order supplies as needed.
+ Maintain internal department processes and bank-wide resource documents.
+ Track vendor payment deadlines and manage vendor contracts.
+ Submit expenses to Accounting and use the company's purchase ordering system.
+ Utilize the bank's Customer Relationship Management (CRM) system to track customer interactions and help develop corporate memory, manage referrals, and maintain appropriate entries regarding opportunities, Friends Club participation, and interactions with customers.
+ Assist with Friends Club report preparation.
Marketing
+ Provide research and benchmarking support to identify ways to promote Friends Club and its benefits including marketing efforts, social media, advertising, and attracting new members.
+ Assist with the production of Friends Club marketing materials including newsletters, brochures, web content, email communications, and advertising.
EDUCATION AND SPECIAL REQUIREMENTS:
+ Associates degree in Communications, Marketing, Administrative Assistant or related field preferred.
+ Prefer 2+ years of customer service, marketing, or administrative support.
+ Proficient with skills needed in typical office environment. This includes computer skills, communications skills, and the use of office equipment. Must have working knowledge of Microsoft Office Suite (i.e. PowerPoint, Excel, Word, Outlook).
+ Must be highly detailed and organized.
+ + Must be able to handle multiple tasks and be flexible and adaptable to shifting priorities.
+ Must be able to move up to 50 pounds.
+ Requires attendance of conferences or training programs, and work before and after normal business hours and weekends.
