The Idaho Department o f Juvenile Corrections, Headquarters office in Downtown Boise is now hiring for a full-time Financial Specialist to work in the Fiscal department. The Financial Specialist is primarily responsible for following established process, procedures and instructions to support the performance of financial-related tasks or processes. Responsibilities: 1. Financial Statements/ Financial Reports: + Prepare and complete entries and ensure accuracy and completeness of related documentation. + Prepare, analyze and/or audit records and documents, accounting system transactions, and other related transactions as required. + Assist in month end closing processes including statistics, data validation, and data entry accuracy. + Monitor data for accuracy, trends, and variances to ensure compliance. + D evelop, reconcile, and report data and information to management. + Complete and review all related work activities to ensure accuracy and completeness. + Perform other duties as may be assigned by the Financial Manager or Chief Financial Officer. + Maintain statewide accounting system financial records for the agency. + Follow procedures for creating, maintaining, and ensuring the compliance of all assigned transactions + Use training materials, tutorials, and in-person training for financial or other tasks, and successfully complete assignments. + Provide customer service to internal customers. + Work with other statewide reporting agencies to ensure understanding and compliance with established processes and procedure expectations. + Ensure compliance with internal controls as required by the state and by management. + Work with accounting subject matter experts to clarify and make recommendations to internal process documents, procedures, desk manuals and training materials for a variety of fiscal activities. + Serve as all-staff agency contact for functions such as Pcard, Risk Management Insurance, and Asset Accounting or other duties as assigned. + Provide support and training to administrative and program personnel to perform assigned financial or administrative tasks + Ensures accuracy of all coding, including compliance with state and federal regulations and department policies and procedures. + Calculate and submit payment for quarterly sales tax. + Provides information and recommendations to management about risks and opportunities for improvement to assigned processes and procedures. 2. P-Card: + Download outstanding P-Card transactions; print reports and contact cardholders to submit. + Communicate with approvers and cardholders regarding submission deadlines, additional documentation needed, answer questions, and resolve problems to complete required transactions within standards. + Facilitate the set-up and training process for new cardholders in system with appropriate limits and process cardholder maintenance requests; cancel cards for terminated employees. + Reconciles P Card transactions/statements, researches reconciliation items and posts necessary adjustments. Calculates P card payment and releases applicable statements in Luma. + Document and resolve p-card transaction processing issues, and report policy violations, fraudulent and disputed charges, lost cards, etc. to management and leadership. 3. Other duties as Assigned: + Cross-trains other fiscal staff on primary assigned duties. + Makes recommendations on updates to fiscal policies and procedures in assigned areas. + Formulates and maintains desk manual for assigned tasks; + Performs risk management and insurance updates, reconciliation and maintenance of related records at the direction of leadership. + Performs other tasks as assigned. Minimum Qualifications: Knowledge: + Knowledge of budget, finance or accounting principles and practices. This is typically gained through a college coursework or on-the-job data entry, recordkeeping, bookkeeping or accounting experience. + Some knowledge of regulatory compliance or related state operations.
