The Department of Obstetrics and Gynecology is involved with teaching, patient care, and research in the areas of normal and abnormal human reproduction: growth and development of the fetus, normal and complicated obstetrics, and surgical and medical diseases of the female reproductive system, including reproductive endocrinology and infertility, oncology, urogynecology, global women's health, genetics, infectious disease, psychosocial problems, preventive health care, and ethics. The department also provides primary and preventive health care for women. The Department has an outstanding opportunity for a **Fellowship Administrator** to join our team. This position is responsible for the managing the administration of the ACGME (Accreditation Council for Graduate Medical Education) accredited OBGYN fellowship programs, including Complex Family Planning, Gynecologic Oncology, Maternal-Fetal Medicine, and Reproductive Endocrinology and Infertility. The Fellowship Administrator functions as a liaison between the Program Directors, residents, fellows, the GME office, participating sites, and other departments. As such, the Fellowship Administrator must be knowledgeable about patient care and operational activities at the various training sites and their educational curriculum. This role reports to the Fellowship Program Directors, as well as to the Vice Chair Finance and Administration of the Department and the Associate Director of Education. This position may supervise the work of an undergraduate student assistant. Within this framework, the Fellowship Administrator’s general responsibilities and duties include, but are not limited to: **DUTIES AND RESPONSIBILITIES** 85% Administration and Program Management for Obstetrics and Gynecology Fellowship Programs + Oversee day-to-day management and operational control of multiple fellowship programs, with accountability for resources and program outcomes. Responsibilities include managing the MedHub Residency Management System, ACGME ADS OPLOG, appointments, credentialing, fellow files, schedules (call and clinical), monitoring leave, and coordinating didactic schedules. + Collaborate closely with Program Directors to develop and implement compliant rotation, clinic, and call schedules, exercising independent judgment to maintain program integrity. Ensure accurate, continuous updating in MedHub and related systems to track clinics, call schedules, and approved leave, in line with regulatory compliance. + Independently track and verify completion of evaluations (fellows, faculty, and program), clinical work hours, and surgical experience to maintain program standards. + Interpret and enforce ACGME requirements, UW GME policies, ABOG policies, and collective bargaining agreements. Develop and update policies and procedures to ensure program alignment and compliance. + Oversee the maintenance and retention of essential documents for accreditation, directly impacting program accreditation status. Contribute to the ACGME Annual Update, coordinate self-study and site visits with the GME office, and collaborate with the Associate Director of Education. + Exercise independent discretion in the Clinical Competency Committee (CCC) and Annual Program Evaluation (APE) processes. Collect and analyze data for continuous quality improvement and accreditation compliance. + Manage onboarding and credentialing for new fellows, ensuring compliance with UW GME and department standards for licensing, DEA registration, PECOS enrollment, immunizations, HIPAA, and other required training. + Lead the fellowship recruitment and selection process in compliance with UW GME and NRMP policies, including applicant evaluation, screening, and interview planning. Ensure equitable and compliant match participation. + Administer surveys and maintain accurate records in GME databases (Specialty Board, FREIDA, ACGME ADS, GMETrack, ERAS, NRMP) to support program evaluation and accountability. + Independently organize administrative and logistical support for retreats, conferences, and fellowship activities, ensuring alignment with program goals and standards. + Provide essential administrative support for fellows, including office supplies management, reimbursements, and resource allocation. + Attend GME program events to monitor compliance, assess areas for improvement, and support program objectives.10% Website Management and Program Resources + Independently design and update web pages to enhance program resources for fellows and faculty, using discretion to incorporate feedback and optimize accessibility. + Create and manage online resources, ensuring content accuracy and user-friendliness. Regularly test and update site functionality. + Stay current on web technologies to support evolving needs in program resource accessibility.5% Departmental Educational Coordination + Maintain education calendars and provide oversight for departmental schedules, including Grand Rounds, Morbidity & Mortality conferences, and other educational events. + Ensure all event logistics are executed accurately, including attendance tracking, hybrid meeting arrangements, room bookings, and catering. **MINIMUM REQUIREMENTS** + Bachelor’s degree in Healthcare Administration, Public Health, Business Administration, Education Administration, or Communications. + Experience in administration and/or graduate medical education in an academic healthcare setting. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **DESIRED QUALIFICATIONS** + High level of tact, discretion, and diplomacy; ability to handle confidential and personnel information. + Demonstrated ability to prioritize multiple projects and tasks. + Superior time-management and organizational skills, ability to efficiently multitask and prioritize competing priorities, and meet important deadlines. + Excellent written, verbal, and interpersonal communication skills, including the ability to communicate with individuals from diverse backgrounds and prepare communications for a variety of audiences. + Experience using Microsoft Office (including PowerPoint, Word, Excel, Access), Microsoft Visio, Zoom, and other remote meeting/facilitation tools. **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
