Facilities Specialist
Description The ideal candidate will answer and direct telephone calls from a web-based phone system; screen, greet and direct walk-in traffic; monitor visitors via building security-cam and inter-com system; perform miscellaneous clerical duties under general supervision of the Facilities manager; maintain visitor access badges; maintain meeting rooms; print daily welcome sign; manage front end reception area, and maintain a high level of professionalism at all times. May include participation in building’s emergency evacuation planning and support efforts. Under general supervision, you will perform a variety of detailed, moderately complex support duties in all functional areas of the Facilities department. This includes Mail Services, Reception, and Facilities support. **_Core Reception Tasks_** + Monitor attendant console on the web-based telephone system; answer and direct incoming calls to appropriate people (currently using Skype software) + Guest management support. If door is locked, answer suite doorbell via security-cam, release door for guests. Greet guests, determine nature of visit and notify appropriate person + Assist with any special mailings, and direct all package/courier deliveries to the mailroom + Create, print and post daily welcome sign to include conference room schedules + Direct incoming vendors/building maintenance to appropriate Facilities personnel or escort them if assigned the task + Provide clerical support as needed + Assist with monitoring Facilities/Office Services shared Outlook inbox and the processing of incoming faxes + Maintain neat appearance of the reception area + Responsible for reception/front-end procedures (i.e. opening and closing) + Performs backup for branch offices call processing and overflow **_Mail Services_** + Provide support for all mail room functions including USPS, FedEx, UPS, courier services/shipping, and receiving. + Distribute mail to staff, route internal mail, and provide general information regarding mail services. + Assist with access card requests (photos for ICF IDs, etc.) **_Facilities_** + Provide general support to staff for Facilities requests including catering setup, meeting support, ordering business supplies, guest reservation system support, and other miscellaneous duties as required. + Assist with office equipment maintenance (refrigerator filter changes, coffee equipment cleaning, etc.) + Assist with new hires and termed staff including computer setup at workstations and removing computer equipment. **_Required Qualifications:_** + High School Degree + 2+ years of experience in office setting + 1+ years of experience in most current version of Microsoft Office suite; Word, Excel, Outlook and Teams **_Attributes & Accountabilities_** + A proactive approach with a positive attitude + Excellent communication skills, both oral and written + The ability to be flexible + The ability to be self-sufficient, a problem solver, and results oriented + Excellent organizational skills, time management, and prioritization abilities + Respect and consideration to management, co-workers and all other internal and external parties + The ability to work under pressure + The ability to work independently as well as being a dedicated team player \#Indeed \#LI-CC1 **Working at ICF** ICF is a global advisory and technology services provider, but we’re not your typical consultants.
