The Facility Manager is to provide leadership and management for a set of buildings in a campus environment. The Facility Manager is charged with the day-to-day implementation of policies, procedures, programs that provides a well-managed and well-maintained building, as well as satisfactory workplace services delivery of end user business and occupant amenities, managing and/or influencing a team of employees and vendors for copy/print machines, reception/guest services, event services, mail services, provision of company amenities (i.e., janitorial service, food & drink). We are seeking a passionate and driven professional to act as an ambassador and liaison between our client, employees and visitors who come to the site. Ideally this individual cares deeply about the level of interaction and the quality of the experience the recipient enjoys during their initial interactions at the site. This position coordinates the activities, financials, vendors and manpower required for current and future needs of the building and operations in coordination with the client's goals and objectives.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

· Strong managerial and leadership skills and ability to create a vision and motivate the site level facility management team.

· Ensures a smooth and seamless employee and guest experience by communicating warmly, clearly, and effectively with employees, guests, vendors, etc. to support site operations.

· Ensure the day-to-day operations of the facilities, including custodial, engineering, life-safety, concierge and event management services, office services, and general maintenance, are implemented in line with C&W and client directives. Some team members will report to this role and others will report to other leaders.

· Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims, as required.

· Supervise all maintenance programs relating to the interior and exterior conditions and appearance of the assigned locations.

· Respond positively and promptly to requests from the client. Oversee the implementation of ongoing contract programs to constantly assess needs and to ensure problems are being solved promptly to the mutual benefit of the client and the properties in accordance with contract scope and Service Level Agreements (SLA’s).

· Manage all contracts to ensure they are reviewed on a regular basis and are bid out as required; verify that invoices match contract pricing.

· Works with cross functional teams to help build and implement client-specific programs focused on delivering exceptional employee experiences in the workplace.

· Ensure that all site-specific documentation and reports are completed accurately and on time, including (and as applicable): Property Information Book, Site Operating Manual, Emergency Procedures Manual, Purchase Order Log, Vendor Certificates of Insurance, General Files, Contract Files, Annual Property Conditions and Year-end Performance Report, and other reports and documentation, as required.

· Prepare, review, and give initial approval and as needed all budgets, financial reports (monthly and quarterly), contracts, expenditures and purchase orders related to the facilities.

· Coordinate and assist in the preparation and publication of the annual budget, quarterly reforecast, and business plans.

· Assist in the development of capital budgets for the property. This includes contributions towards a five-year plan of maintenance, facility improvement, and cost reduction initiatives.

· Collect, analyze and report statistical data as may be required to provide accurate and current assessment of facility management objectives

· Responsible for delivering results related to all employee experience and customer satisfaction KPIs.

IMPORTANT EDUCATION

· Bachelor’s degree in Business Administration, Facilities Management, Corporate Real Estate, or Project Management, or preferred

IMPORTANT EXPERIENCE

· Minimum of 4 years of facility management or relevant experience

· 5 years of experience in face-to-face interaction with customers preferred

· 2 years of experience overseeing a team of 2+ individuals

· Proven computer experience essential including proficiency in Outlook, Word and Excel required

· Experience in all facets of facility operation and building management preferred

· Excellent verbal and written communication skills a must

· Organization and attention to detail required

· Must be able to work in a fast paced, high-volume environment

· Ideal candidate must have a positive attitude and be comfortable in providing customer service to a diverse population

ADDITIONAL ELIGIBILITY QUALIFICATIONS

· Certified Facility Manager (CFM), International Facilities Management Association (IFMA), Building Owners and Managers Association (BOMA) industry certifications recommended; other Engineering, Business or technical training or certifications preferred

· Proficient in understanding management agreements and contract language

· Strong discipline of financial management including financial tracking, budgeting and forecasting

· Knowledge of Financial Systems (Yardi a plus)

· Ability to read and understand construction specifications and blueprints preferred

WORK ENVIRONMENT

This job operates in a professional office environment; however, may work from home when managing a dispersed real estate portfolio. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The Facility/Workplace Manager may be required to travel to remote sites.

While performing the duties of this job, the employee is regularly required to travel from floor to floor and may be required to travel outside between buildings in varying outdoor weather conditions.

The employee is regularly required to communicate with others and exchange accurate information; operate a computer and other office productivity machinery; move about the workplace; remain in a stationary position for 40-65% of the time; and extend hands and arms in any direction.
