About Our Opportunity Our Facilities Coordinator provides general office support and assistance to our team members, guests and vendors. We are looking for a team member who will create a welcoming environment and an exceptional internal and external customer experience through positive interaction, and by handling responsibilities in a timely, efficient manner. This position requires the ability to travel up to 25% regionally, to include some overnight stays. How You Will Spend Your Time + Providing exceptional customer experiences by delivering timely and thorough service in a way that exceeds customer expectations while meeting internal deadlines. + Processing incoming and outgoing mail and deliveries at both Louisville offices. Handling sensitive documents in a secure and confidential manner. + Assisting with conference room setup and ensuring conference rooms are equipped with the necessary supplies. + Supporting facilities and construction teams with moves, adds, and changes. This includes the ability to travel regionally, acting as onsite support during office moves. + Utilizing a production printer to create high quality prints and assembling for internal customers. + Conducting regular walkthroughs to ensure pristine condition of office space, conference rooms and work areas. + Collaborating with other departments to identify facility-related needs and helping to address these needs. + Reviewing incoming facilities and construction requests and actioning appropriately. This includes timely follow up with vendors and other stakeholders. + Monitoring supply levels and ensuring office supplies remain stocked. + Creating security badges, nameplates and setting up desks for new employees. + Assisting in proactively identifying service needs throughout the building and reporting issues in the ticket management system. + Actively participating on assigned team projects, fulfilling task assignments, meeting deadlines and proactively contributing to the attainment of team goals. + Identifying, recommending and implementing continuous improvement opportunities, including cross-functional perspectives to provide the best possible experience for internal customers. Minimum Education & Experience High School Diploma/GED. 2 years successful experience in administrative support, customer service, and/or working in an office environment. Mental & Physical Requirements While engaged in this position, team members will routinely sit, use hands for tasks, and communicate orally. Standing or walking is frequently required, while occasional demands include reaching with hands and arms, and lifting or moving up to ten pounds. Vision requirements encompass close and distance vision. The work environment typically has a moderate noise level. This role may entail a blend of mental and physical capabilities, requiring strong mental acuity, problem-solving skills, and occasional physical tasks such as standing, lifting, or extended computer usage. Some roles may require physical or mental requirements related to driving, such as a valid driver's license, and the ability to drive a long-distance.
