What you’ll do:
Oversee the onboarding of new physician and APN's which includes organizing recruitment packet, CART application and monitoring status of credentialing
Attend meetings, transcribe meeting minutes, and distribute them as necessary.
Perform administrative and secretarial duties, with a focus on attention to detail, independent decision-making and prioritization, under the direction of the administrator.
Manage leaders calendar by scheduling meetings, arranging appointments, and interviews
Process faculty affiliate appointments at Hines VA, Gottlieb Memorial Hospital and MacNeal Hospital
Ensures department expenses are charged appropriately. Prepares check requisitions, and expense reports. Tracks monthly departmental and philanthropic expenses.
Orders office supplies and arranges for maintenance of equipment and facilities
Guides faculty through the promotion process
Other duties as assigned
Skills and Qualifications:
Education: A high school diploma or equivalent is required; a bachelor’s degree in Business Administration or a related field is preferred.
Experience: Proven experience as an executive secretary, administrative assistant, or similar role.
Technical Skills: Proficiency in Microsoft office software (word, excel, powerpoint, teams, peoplesoft, Interfolio)
Communication: Excellent written and verbal communication skills. Ability to compose correspondences (letters and memos)
Organizational Skills: Strong organizational skills and the ability to multitask in a fast-paced environment.
Attention to Detail: High attention to detail and accuracy in all aspects of work.
Discretion and Confidentiality: Ability to handle sensitive information with discretion.
Shift: 7:30 AM - 4:00 PM

What you’ll need for this job:
Required:
High School Diploma or equivalent with training acquired through work experience or education.
6-10 years of job-related experience in an administrative or secretarial role.
Preferred:
2-3 years of college education or equivalent administrative/technical background, ideally in Business.
10+ years of job-related experience is a plus.
Compensation:
Pay Range: $22.07 - $34.21 per hour
Actual compensation will fall within the range but may vary based on factors such as experience, qualifications, education, location, licensure, certification requirements, and comparisons to colleagues in similar roles.
