Job Summary:

Performs secretarial work of average difficulty and involving some independent judgment, for the Executive Vice President. Also performs general functions and related work as required.  Work is performed under the general supervision of the Executive Vice President. Must be well organized and possess outstanding secretarial skills.

 

Job Functions:

-    Takes and transcribes dictation.

-    Screens visitors, telephone calls and directs mail to the correct officer or department head.

-    Types letters, statements, minutes and agendas from dictated, handwritten or other sources.

-    Composes and prepares routine correspondence for signature.

-    Answers the phone, provides and receives information concerning matters related to the division or department.

-    Schedules appointments and maintains calendar for the officer or department head.

-    Opens, sorts and distributes incoming mail and prepares outgoing mail.

-    Organizes and maintains a variety of files and records.

-    Takes and transcribes minutes of delegate assemblies;

-    Takes and transcribes notes, prepares draft of notes on word processor, and after editing, finalizes same.

-    May attend meetings and conferences to furnish information and take notes.

-    Arranges for meeting and conferences.

-    Coordinates some office functions with other divisions and departments.

Qualifications:

High school diploma. Three years experience in the performance of responsible secretarial and clerical work. Some knowledge of modern office methods and procedures. Must have knowledge of office equipment and experience with word processing. Ability to perform secretarial and clerical duties with speed and accuracy without immediate and constant supervision. Type at a speed of 70 words per minute and stenography skills desirable. Must possess good Dictaphone skills. Excellent spelling, grammar and vocabulary with good verbal and written communication skills. Ability to maintain a good working relationship with all coworkers, members and the general public, requiring tact, judgment and poise. Ability to work well under stress. Ability to work long hours, including evenings and weekends.
