Matric Completed related qualification Minimum 3 years’ experience as a Personal Assistant to Senior Management and above MS Office (Excel, Word, Email) Excellent communication skills Excellent coordination skills Excellent administration skills Responsibilities:
Diaries / Meetings:
Manage CEO and two Director’s diaries Coordinate Annual Exco Meetings Coordinate monthly / quarterly meetings Internal and external stakeholder / project / banking partner / prospective clients and product partners Ensure meeting rooms are booked and adequately prepared i.e. neat with refreshments and catering as needed Meet and greet visitors Reports:
Exco monthly packs: collate, format, consolidate, print and bind and distribute Distribute annual financial statements, resolutions to stakeholders as required Audit committee and board quarterly packs: collate, format, consolidate, print and bind and distribute Assist with typing / formatting of policies and procedures / agreements / reports and any other documents as may be required Take Minutes of Meetings:
Audit committee and board meetings Filing of signed Minutes and attendance registers in minute books Any others as may be required Travel (Flights / Accommodation / Car Hire / VISA Applications):
Coordinate and book national / international travel for CEO and Directors, assist with flight check in or anything else as is required Coordinate and book national / international travel for all staff (ability to arrange without much notice for urgent travel) Ensure travel requests are duly authorised and reservations are in line with budget Capturing of travel Ensure staff food allowance is paid by finance and to liaise finance regarding hotel payments, timeously where credit card is not applicable Timeous distribution of travel information Assist business partners with hotel reservations, itineraries, airport / hotel transfers and letters of invitations / company information for VISA applications Fraxion:
Follow procurement procedure for uploading of new suppliers / purchase / payments (quotes / Pos / invoice) and to assist with internal and external correspondence Capturing and filing of marketing expenses Staff Welfare:
Arrange flowers / gifts for staff or any else as is required Arrange long service lunches General:
Screening of telephone calls, taking messages, taking calls for customer complaints – ensuring they are escalated and resolved by the responsible department Assist with personal matters (VISA / CIPC annual returns, letters) Lunch / dinner reservations Liaise driver regarding deliveries / collections Couriering of documents / parcels nationally and internationally Manage subscriptions License renewals / pay fines Expense claims – completed, authorise and submitted Ensuring parking is booked for external meetings Stationery:
