Job Description

Job Purpose:

To provide support for the operation division to ensure the effectiveness and completeness of operations administrative tasks and provide effectiveness and efficiency of Domestic Franchise.

Main Responsibilities:

Correspondence

Process operational memorandums.Record customer complaints received via phone and inform the Operations team.Ensure updates on Business Consultants' movements and store personnel changes.

Operations Filing

Prepare and distribute relevant documentation to all franchise stores.Submit operational purchase order requisitions for GM approval.

Operations Summary Reports

Collect and update operational results (QSCs, audits, complaints, etc.) in the report twice a month.Summarize Customer Satisfaction (InMoment) results monthly and share them with department heads and Business Consultants.Compile monthly Store Audit results and inform stores, Business Consultants, and the GM.Summarize the Sales Management Sheet, Budget P&L, and Incentive Reports.Coordinate and support the organization of meetings, team outings, and other events.Update store profile data from Business Consultants on a monthly basis.Maintain an updated record of customer addresses, including franchise owners, franchise stores, franchise managers, manager turnover, and other related records.Prepare and send PR notifications for new store openings or relocations to all relevant parties.

Coordination Tasks

Arrange meeting rooms and schedule appointments for the Franchise team, franchise owners, or external stakeholders.Ensure the accuracy of Franchise Meeting Minutes and distribute them to all relevant parties.Provide support to the Franchise team by supplying necessary information.Perform administrative and secretarial tasks to assist the Franchise team.Carry out additional duties as assigned by supervisors, including support for Franchise Academy, Franchise Conferences, Manager Conferences, Quarterly Reviews, and Manager Meetings.

QualificationsAt least Bachelor's Degree in any field.At least 2 years of Secretary or administrative assistant experience.Good in English Communication and computer literacy.
