+ Bachelor's degree in a relevant field (such as Communications, International Relations, or a related discipline) preferred.

This position is a fully benefits-eligible term appointment ending one year from date of hire, with possibility of renewal.
This is an hourly, non-exempt, 40 hour/week position, with additional overtime hours likely.

Salary Range : $65,653 - $104,471
Note: Starting salaries typically fall in the lower half of the salary range; however, they are ultimately determined by the scope of the position, the candidate's relevant experience, and internal equity.

What you’ll do as an Executive Coordinator:
+ Manage complex calendars, travel arrangements (including travel visas, when necessary), expense reimbursements, and logistical details of media appearances.
+ Communicate professionally with internal and external stakeholders on behalf of the faculty.
+ Prepare meeting documentation, manage filing systems, and maintain office inventory.
+ Read faculty member’s email and identify requests for action.
+ Prepare daily briefings of faculty member’s upcoming workday.
+ Move projects forward and continually look for ways to leverage faculty time; oversee task-tracking of action items and outstanding requests.
+ Proofread documents, retrieve research resources, and submit materials for publishing and distribution on campus and globally.
+ Plan events: communicate with guests, reserve space, order catering, align security and manage all logistics.
+ Perform administrative duties for Professor Burns’ courses at HKS, including booking space and arranging class events and guest speakers; requesting copyright clearances for course readings through HKS Library and Research Services and posting them on Canvas (online course website); provide administrative guidance to course assistants; manage office hours for faculty; provide class handouts and other related duties as assigned.
+ Onboard student research assistants or other temporary staff.
What you’ll do as Future of Diplomacy Project (FDP) Coordinator:
+ Prepare hiring paperwork and onboard Future of Diplomacy affiliates/fellows: draft offer letters, process nomination forms, add scholars to HR system, obtain appropriate administrative approvals, track status.
+ Collaborate with the Harvard International Office to generate visa sponsorship documents.
+ Manage the orientation of new fellows: prepare office for fellow’s use, procure technology and request necessary accounts/access, greet and introduce to HKS, handle all logistics of settling into campus.
+ Provide light administrative support for fellows, as needed.
+ Organize and staff a wide variety of FDP events, including (but not limited to): public seminars, private workshops, fellows’ socials; Meet and greet senior guests.
+ Use Salesforce for external communications for events and fellowship management.
+ Serve as the point-of-contact for external and internal inquiries.
+ Maintain the FDP’s website, including keeping project pages and content up to date.
+ Manage FDP’s electronic records and finances, including reconciling the Director’s corporate card, reimbursing and tracking fellows’ out-of-pocket expenses, tracking project budget.
+ Additional related tasks or special projects as they arise.

The Belfer Center has an immediate opening for an Executive Coordinator who will play a pivotal role in facilitating the work of a senior level professor at the Belfer Center for Science and International Affairs at HKS.
This role will report to Nicholas Burns, Roy and Barbara Goodman Family Professor of the Practice of Diplomacy and International Relations and former U.S. Ambassador to China. With minimal supervision, the Executive Coordinator will provide a high level of administrative and logistical support to Professor Burns focused on delivery and support of his courses at HKS and facilitating the activities of the Future of Diplomacy Project.
