Executive Assistant & Office Administrator, SEA

A day in the life: 

You are articulate, personable, and detail-oriented with exceptional organisational and prioritisation skills as well as the ability to act independently and make significant decisions. You must be able to build relationships with employees at all levels throughout the organisation, have a good business acumen and the ability to handle sensitive situations in a mature and confidential manner.  You will enable the smooth operation of the office under the pressure of frequent interruptions and changes in priorities.  This role is directly supporting the Market Director of South East Asia, as well as managing day to day operations of SEA office in Singapore.

 

Support for the Market Director:


Manage the Director’s calendar and appointments, taking into account their preferences for time, social/family commitments, and working style.Coordinate and manage travel requests for the Director, including flights, accommodation, transfers & hire car bookings. Keep up with the complex requests, and professional demands of the Director and plan accordingly.Coordinate and attend meetings with the Director and wider SEA Leadership Team, keeping agenda items, actions and notes up to date. Support the Director to coordinate annual off-site for the SEA Leadership Team including agenda planning, venue and accommodation bookings, team activities, dinner bookings, catering etc. Manage monthly credit card expenses for the Director.Support in special projects that come up from time to time under the direction of the Director.Responsible for ensuring all details have been secured for meetings (on-site and off-site), preparing relevant materials required to conduct or attend their meetings. You are deeply attuned to, and aware of the Director’s strategic goals and objectives and support their achievement through sound judgment and decision making.Complete any other tasks or projects as requested by the Director.

 

Other Duties and Responsibilities: 


You are the main point of contact for the Store Support Centre (Office).  You hold the relationship with building management for any office repairs/maintenance, you maintain all office supplies, arrange ad-hoc catering, and generally maintain the day-to-day operations of the office. Work closely with the Internal Communications Team to bring to life incredible events for the SSC team, including venue bookings, catering, travel coordination for remote team members, budget management etc. Work closely with the Finance team to manage & allocate budget.
Qualifications:Minimum 5 years’ experience as a Personal Assistant to highly visible, extremely busy leader (e.g. CEO, entrepreneur, performer)Exceptional communication skills - interaction with various executive levels including, but not limited to, Board Members, CEO and Executives internally and globally (a key liaison)Trustworthy – responsible for handling confidential and sensitive informationTech savvy – well versed in PPT, Word & OutlookYou are proactive and in action, completing tasks and projects efficiently and effectively.Excellent business acumen and ability to exercise sound judgment and prioritizationExtremely detailed and quality oriented.Able to observe and maintain the utmost confidentiality.Ability to be resourceful and source details required to carry out tasks as assigned.Ability to manage multiple projects under tight deadlinesAbility to work effectively with multiple critical timelines.Tact, diplomacy, high energy and a sense of humorPersonable and approachable at all times.
