Executive Assistant (Fixed-term contract)

Job Responsibilities:

General Administrative Tasks:

Manage meeting requests and coordinate schedules for the Managing Director.

Organize travel arrangements, including booking flights, trains, accommodations, and preparing visa documents. File and manage expense reports.

Plan, organize, and coordinate meetings, trips, and off-site events, ensuring effective logistics management, agency coordination, and budget planning vs. actual costs.

Maintain calendars for departmental events and meetings, including the vacation calendar for direct staff, and ensure appropriate backup planning.

Proactively develop content for presentations, such as All Employee calls/webcasts, and collaborate with key stakeholders to obtain accurate and timely data (slides and speaker notes, if needed).

Manage incoming postal mail and calls.

Compile and analyze data for reports.

Assist with administrative tasks related to departmental budgeting.

Order equipment and services using HP’s approved tools and processes.

Manage and approve purchase orders on behalf of the Managing Director.

Organize, classify, and process documents requiring signature and maintain records according to HP policies.

Maintain and update HP SharePoint sites.

Business Support Tasks:

Compile and review reports on performance indicators, sales trends, and other sales-related analyses.

Support day-to-day post-sales transactions (e.g., credits, returns, order entry) and report customer issues, resolving basic challenges and managing highly complex customer accounts.

Collaborate with internal departments (e.g., internal sales, audit, operational support, delivery) to resolve moderately complex issues.

Address and resolve complex customer issues (e.g., distribution, pricing) while assisting customer service representatives with escalated cases.

Oversee resolution of open order (backlog) issues, liaising with supply chain or factory to determine delays and communicating updates.

Act as a subject matter expert in order management, including testing new systems to ensure accuracy and functionality.

Analyze system requirements and document them to align with business objectives.

Develop visualizations, user experience designs, and configuration elements for system solutions.

Execute and manage requirements and change management processes.

Collaborate as a team member to improve business processes and evaluate the application of technology to current and future business environments.

Lead training sessions for clients and peers.

ESG and CSR-Related Tasks:

Assist in developing and coordinating ESG (Environmental, Social, and Governance) initiatives and reporting requirements.

Organize CSR (Corporate Social Responsibility) events and activities in alignment with company values and sustainability goals.

Maintain records of the company’s ESG performance metrics and prepare reports for internal and external stakeholders.

Collaborate with internal teams to identify opportunities for improving sustainability practices within the organization.

Support communication efforts to promote HP’s ESG and CSR achievements to employees, customers, and partners.

Assist in developing presentations and materials for ESG-related meetings and external events.

Liaise with vendors and stakeholders to ensure compliance with ESG objectives and standards.

Education and Professional Experience Required:

Bachelor’s degree in a Technical or Business discipline, or equivalent experience with a minimum of 2 years. Alternatively Master’s degree with at least 2 years of experience.

Excellent communication skills in Greek and English (verbal, email, phone, and presentations).

Proactive and detail-oriented, with the ability to quickly learn internal processes and policies.

Demonstrated project management skills and compliance awareness.

Technical Skills:

Advanced administrative and organizational skills.

Proficiency in MS Office (Word, Excel, PowerPoint, Outlook, SharePoint).

Extensive knowledge of company policies and procedures to handle complex tasks creatively and effectively.
