The Executive Assistant is responsible for providing administrative support to multiple executives including projects, complex calendar management, event planning, and domestic/international travel arrangements.
This position is part of the Corporate Development group and will be located onsite in our Washington, DC office.
In this role, you will have the opportunity to:
+ Expertly deliver heavy calendar management, architect and execute needs for worldwide department meetings to include logistics/securing conference room(s), set-up video conferencing/media, arrange, gather and distribute meeting materials, recordings and other collateral
+ Provide a seamless communication bridge between executives and internal departments, demonstrate executive presence, leadership, and a keen sense to maintain credibility, confidentiality, discretion, and trust
+ Manage and maintain multiple departmental databases, management files, and other electronic filing systems
+ Manage invoice approval and submission process for multiple vendors
+ Collaborate with and provide back-up support to the Corporate Development Executive Assistant when needed, which includes calendar management, travel scheduling, conference planning and meeting logistics
The essential requirements of the job include:
+ Bachelor's degree preferred or equivalent experience; HS diploma required
+ 5+ years of successful experience as an Administrative Assistant/Executive Assistant, including substantive project management experience
+ Ability to maintain complete confidentiality regarding sensitive information
+ Tech savvy and highly proficient in Microsoft Office Suite (Teams, Outlook, Word, Excel, PowerPoint); excellent PowerPoint graphics/presentation skills are necessary
+ Demonstrated ability to engage and communicate comfortably and effectively with individuals in a wide range of functions, and at a wide range of levels, throughout the organization
+ Track record of success working on a fast-paced team with flexibility quickly pivot and address unexpected matters for individuals in various time zones
It would be a plus if you also possess previous experience in:
+ Supporting global organizations
+ Prioritizing and managing multiple projects / tasks
+ Partnering with other administrative professionals to manage competing needs and schedules
The hourly range for this role is $40.00 - $47.00 per hour. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range. This range may be modified in the future.
