Executive Assistant
Description The Executive Assistant (EA) for a Non-Profit Organization provides high-level administrative support to the executive leadership team, typically including the Executive Director (ED) or other senior leadership roles. This individual plays a vital role in ensuring the efficient day-to-day operations of the organization by managing schedules, handling communications, and coordinating key projects and events. The ideal candidate should possess strong organizational and multitasking abilities, as well as a passion for supporting the mission and goals of the non-profit. Key Responsibilities: Executive Support: + Serve as the primary point of contact for the Executive Director, managing their calendar, appointments, and travel arrangements (Source: Role-Specific Insights for Non-Profit Staff). + Prepare and edit correspondence, memos, reports, and presentations on behalf of the executive team. Meeting Coordination: + Schedule, prepare agendas, and coordinate materials for meetings, including board meetings, staff meetings, and donor events. + Take detailed meeting minutes and ensure prompt follow-up on action items. Communication Management: + Act as a liaison between the executive team and internal/external stakeholders, ensuring professional and timely communication. + Handle incoming calls, emails, and inquiries on behalf of the leadership team. Project Coordination: + Assist in planning, organizing, and executing key organizational projects or initiatives. + Track deadlines and deliverables for various projects, keeping the leadership team informed of progress. Event Support: + Coordinate logistics for events, fundraisers, and other organizational activities, including invitations, RSVPs, and materials. Document and File Management: + Maintain organized filing systems for electronic and physical documents, ensuring quick access to important information. + Manage sensitive information with discretion and confidentiality. Administrative Tasks: + Oversee office operations, including ordering supplies, handling invoices, and managing vendor relationships. + Provide general administrative support as needed, including photocopying, data entry, and expense reporting. Requirements Key Skills and Qualifications: Education & Experience: + Bachelor's degree or an equivalent combination of education and work experience preferred (Source: Non-Profit Administration Expertise). + 3-5 years of experience as an Executive Assistant, preferably within a non-profit or mission-driven organization. Skills Required: + Excellent verbal and written communication skills. + Strong organizational and time-management abilities. + Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools. Personal Qualities: + Alignment with the organization’s mission and values. + Ability to work independently, exercise good judgment, and handle multiple priorities in a fast-paced environment. + Discretion and professionalism when dealing with sensitive or confidential information.
