Executive Assistant
Description We are offering a long-term contract employment opportunity for an Executive Assistant in the pharmaceutical industry located in New York. As an Executive Assistant, you will be relied upon for administrative support, handling correspondence, and managing schedules while utilizing systems like CRM, ADP - Financial Services, Cisco Webex Meetings, Concur, and Kronos Timekeeping System. Responsibilities: • Use ADP - Financial Services for business-related operations • Manage and organize meetings via Cisco Webex Meetings • Handle expense reports and travel arrangements using Concur • Maintain and update customer relationship management (CRM) systems • Use Kronos Timekeeping System for tracking work hours • Ensure timely and effective management of calendars • Facilitate communication both internally and externally • Coordinate conference calls and manage meeting logistics • Handle, prioritize, and distribute correspondence • Use 'About Time' software for effective time management Requirements • Minimum of 5 years of experience as an Executive Assistant, preferably within the pharmaceutical industry. • Proficiency in ADP - Financial Services for efficient financial management. • Familiarity with Cisco Webex Meetings for smooth coordination of remote meetings and conferences. • Experience with Concur for managing travel and expenses. • Knowledge of CRM software for efficient customer relationship management. • Proficiency in using the Kronos Timekeeping System for accurate time tracking. • Experience with About Time software for effective project management. • Expertise in Calendar Management, coordinating and scheduling meetings and appointments. • Excellent communication skills, both written and verbal, for clear and effective correspondence. • Experience in coordinating conference calls, ensuring seamless communication among team members. • Proven ability to manage correspondence, including drafting letters, emails, and other forms of communication.
