Position Overview

QinetiQ US is looking to hire an experienced Executive Assistant to support C-Level leaders at our Fort Belvoir, VA customer site.

Responsibilities Manage the calendar for C-Level principles as assigned including scheduling and coordinating meetings, booking meeting rooms, coordinating refreshments/food.Prepare briefings, presentations, and meeting materials and distribute to appropriate parties prior to the meeting.Assists in preparing for conferences/ meetings by assembling background material, solicits topics of discussion from various organizations , develops the agenda and distributes prior to the event.Notes commitments during meetings, informs staff of same and assures feedback from attendees or provided summary minutes to keep him well informed.Ensures that tasks are relayed to appropriate staff members and follows through to ensure responses.Manage scheduling and disseminate changes in a timely manner to the appropriate staff. Review schedules pro-actively and make necessary changes.Interface with meeting attendees and stakeholders to coordinate and support meetings and other events.Review incoming and outgoing correspondence, including presentations, briefings, and reports; check for formatting, proofread, and edit as necessary. Prioritizes and determines whether correspondence should be brought to attention, referred to appropriate personnel, or handled personally. When necessary, uses initiative to obtain clarification of instructions from originating offices or appropriate focal points. Follows up on incoming correspondence to insure timely and appropriate action.Reviews documents prepared for signature or requiring coordination for conformance with regulations, grammar, format, and command policies.Maintains and secures the confidential files. Safeguards personnel information and classified material. Observes all security regulations in handling and storage of material.Provides Senior Executive level support to the Deputy to the Commanding GeneralPrepare/manage briefings, presentations, talking points and meeting materials to distribute to appropriate parties prior to the meeting.Provide travel support using the DoD DTS system and perform tasks relating to travel, to include creation of ITR, booking travel and coordinating with meeting partners regarding agenda and security requirements.Partner with other administrative support in all departments to collaborate, obtain information through weekly syncs and deconflict events and engagements.Strategically schedule external meetings and perform calendar management with respect to priorities, goals and objectives.Act as a liaison between the Deputy and other senior leaders, both internal and external to the organization, including scheduling meetings, facilitating communication, and ensuring smooth coordination.Build and maintain relationships with key stakeholders, anticipate their needs, and pro-actively address their concerns.Facilitate meetings led by the Deputy, ensuring effective communication, time management, and follow-up on action items.Special Projects: Take on special projects as assigned by the Deputy, which may involve research, analysis, coordination with other departments, or event planning.Process Improvement: Identify and recommend improvements to existing processes and procedures to enhance efficiency and effectiveness within the office. Required Qualifications At least 5 years of experience in executive administrationActive DOD Secret or higher level clearanceExperience working in an international businessDemonstrated experience working for senior leader in the defense contracting industryExceptional written and verbal communication skillsAbility to effectively review and interpret incoming data, reports, briefing materials, etc. to ensure they are properly staffed, accurate and complete for the senior leader.Ability to communicate clearly and concisely both orally and in writing to senior leaders.  Ability to accurately recite guidance/information on behalf of senior leader to subject matter experts.
Proficient with Microsoft Office ( Outlook, Work, Powerpoint)  and other office automation tools such as MS Teams, SharePoint, and Adobe.Experience working with the Defense Travel System (DTS) for travel coordination.Demonstrated ability to prioritize, meet deadlines, work independently, and manage multiple tasks simultaneously.
