An ideal candidate would be someone who is an organized self-starter, who is also inventive and efficient. Being flexible and having a sense of humor while maintaining a high level of integrity and confidentiality is crucial to this role. You will have the intuition to react with appropriate urgency to emerging situations, be able to complete multiple high-priority tasks efficiently, and be comfortable to make decisions with minimal oversight or mentorship.\n \n \n\nHow You’ll Find Success\n\nProactive Anticipation: Anticipate the needs and priorities of the executives, proactively addressing them to streamline workflow and maximize productivity.\nEffective Communication: Establish and maintain clear, open lines of communication with the executives and various stakeholders, ensuring all parties are well-informed and aligned.\nPrecision and Attention to Detail: Execute tasks with meticulous attention to detail and accuracy, ensuring all deliverables meet high standards and deadlines are consistently met.\nAdaptability and Flexibility: Demonstrate flexibility in responding to evolving priorities and dynamic situations, adeptly adjusting plans and strategies as needed to support the executives effectively.\nConfidentiality and Trustworthiness: Maintain strict confidentiality and handle sensitive information with discretion and professionalism, fostering trust and reliability in all interactions.\nRelationship Building: Cultivate strong relationships with internal and external stakeholders, leveraging these connections to facilitate collaboration and achieve strategic objectives.\n\n\n \n\nHow You’ll Grow\n\nYou will work with our leaders on a daily basis and learn how the business is run.\nServe as an extension of your executive(s) and represent them and our values to the rest of the company.\nLook for / identify experience gaps and suggest areas for improvement for your exec’s org and for the company as a whole.\nYou’ll have the opportunity to take on projects that impact the company and work across departments to achieve outcomes\n\n

Things You’ll Do
\n\nCalendar Management: Manage the executives' calendars efficiently, scheduling meetings, appointments, and travel arrangements while prioritizing conflicting demands.\nCollaboration and Communication: Handle correspondence and collaboration across the executives' business groups and regional leadership in a timely and professional manner.\nMeeting Coordination: Coordinate and organize meetings, conferences, and events, including agenda preparation, logistics coordination, and documentation distribution.\nDocument Preparation: Prepare and edit presentations, reports, memos, and other documents, ensuring accuracy, clarity, and alignment with company standards.\nProject Management: Provide comprehensive support for special projects and initiatives led by the site leader, assisting with research, data analysis, and project coordination as required.\nAdministrative Support: Perform various administrative tasks such as expense tracking, file management, and office organization, while maintaining efficient systems and processes to support the site leader's workflow.\n\n\n
What We’re Looking For on Your Resume
\n\n\nBachelor’s degree required\nBilingual: English and Spanish\nPast Executive Assistant experience is required (2+ years is ideal)\nPreference for experience in a fast-paced, tech startup environment\nExpert-level written and verbal communication skills\nStrong problem-solving skills\nStrong organizational skills with the ability to stay on top of and complete multiple tasks in a timely manner\nConsistently produce work with the highest level of attention to detail\nConsistently deliver high-quality professional customer service to internal and external customers with the ability to be personable and happy to help in a variety of situations\nVisionary spirit: ability to take the initiative, work independently and accomplish tasks\nAdaptive: tackle new tasks with little notice or instruction\nSelf-starter, taking initiative on new tasks with little guidance or oversight\nWork collaboratively with all other executive assistants at headquarters and remote locations to maintain a smoothly working corporate environment\nThe utmost level of integrity and discretion in handling confidential information\n\n\n
