Executive Assistant
We are looking for an Executive Assistant to join the EMEA Work Dynamics team.
This will include a high level of complex diary management for the EMEA People Lead and EMEA Head of Finance and members of the HR / Finance leadership teams.
What this job involves
Extensive diary management across multiple time zonesFull inbox managementOrganising international travel including meeting and transport arrangements, confirming accommodation, and producing detailed itineraries often of a complex natureAssisting in organising external meetings and operational meetings in various locations around EMEA regionDealing with telephone calls and emails from clients and colleagues in a professional manner and escalating any issuesDeveloping and maintaining effective working relationships with colleagues and clientsDrafting documents and correspondenceOrganising client entertainment, both in the UK and globallyOrganising internal and external lunches & dinners, booking the relevant dining rooms and restaurants both in London and globallyOrganising meetings and presentations booking the relevant rooms and equipment both in the UK and globallyProviding wide ranging administrative assistanceSupport with project work (as applicable)Support with material preparation as and when requiredEvery day is different, and in all these activities, we’d encourage you to show your ingenuity.

4+ years as an executive assistantWorking within a global teamExtensive international travel managementExcellent spoken and written communication skills in EnglishAbility to work independently with minimal supervisionManage both global senior leadership and large group meetingsTeam player who deals effectively with colleagues and clientsAbility to prioritise workload with an attention to detail and willingness to complete projects in a timely and efficient mannerSome analytical ability is required in order to gather and summarise data for reports and to find solutions to various administrative issuesUnderstands and appreciates the importance of using discretionHighly respected by colleagues and serves as a positive role modelUses appropriate judgement when responding to the needs of senior level executives both internally and externallyShows initiative in taking action and responding appropriatelyAdopts a flexible approach to work: from time to time early starts and late finishes will be necessaryHas proven organisational skillsHas an excellent telephone manner and interpersonal skills to deal with a wide variety of people and clientsThe candidate must demonstrate the ability to establish good relationships with both clients and colleaguesA cheerful and positive attitude is essential as is a genuine enthusiasm for the work that will be undertakenExperience
