Nexus Indian-Oaks is looking to add an Executive Assistant position to our fantastic team!

Position Summary: The agency Executive Assistant I, provides professional administrative support to agency leaders, ensuring program departments are effectively supported. This position foresees, initiates, and finalizes the activities that support successful agency outcomes.

Schedule/Pay:

Full-time; onsite opportunity Monday-Friday (weekday) scheduling Nexus-Indian Oaks Address: 101 N. Bramble Street, Manteno, IL 60950 Salary: $55,000-$60,000 annually

Primary responsibilities:

Agency & Program Leader Support

Supports the Executive Director (ED) and other program leadership with varying administrative tasks. Manages and performs multiple office administrative responsibilities including ordering business cards and stationery and purchasing supplies and merchandise for the agency. Maintains client files applicable to the individual program or agency; organizes, updates and extracts documents and releases expired information. Fosters and provides exceptional client service throughout the agency; emulates Nexus’ ICARE values and Trauma Informed Care approach toward every client, family, employee, and leader. Facilitates travel plans and arrangements for the ED and program leaders; maintains updated lists of contract partners for discounted accommodations and transportation entities. Fosters sharing of information with the leadership team; proactively communicates and conveys information to the appropriate individuals, ensuring mutual understanding and continuity throughout the agency.

Agency & Office Communication

Facilitates and maintains effective and efficient communication within the agency, the ED, and leaders; understands differences among audiences and adapts communication style accordingly.   Attends and participates in staff, committee, or other agency meetings; prepares, composes, and distributes meeting agendas, meeting minutes and other communication required for effective meeting outcomes.

Board Administration

Organizes quarterly BOD meetings; collaborates with Board Chair to inform and develop meeting priorities, agenda items, budgeted time and participant resources needed for effective meeting outcomes. Originates and documents Board rules of engagement, meeting and agenda format, and meeting minute documentation standards; clearly and concisely documents and saves all Board meeting minutes. Establishes and maintains effective working relationships with the BOD members by fostering trust and rapport; serves as a liaison between the CEO and BOD members through consistent communication. Initiates quarterly and annual Board Meetings; develops meeting agendas, materials, and packets; maintains discretion, professionalism, and confidentiality while corresponding with Board members. Maintains and administers agency legal documents including by-laws, articles of incorporation, contracts, leases, and agreements; communicates with NHO attorney as appropriate and when authorized. 

 Compliance & Confidentiality

Acknowledges, understands, and maintains the integrity, privacy and confidentiality of all agency employees, clients and families when working with confidential information. Attends and participates in staff meetings, trainings and special projects as assigned. Understands and abides by Nexus policy, procedure, compliance, and guidelines when performing work and interacting with agency employees, leaders, clients, and families.   Understands and supports the Nexus philosophy and treatment modalities.

Required Education and Licensure:

Associate’s Degree or equivalent. 4+ years’ experience performing in a high-level administrative position. Intermediate to advanced MS Office skills including MS Word, PowerPoint, Excel and Access. Valid Driver’s license; must meet state driving criteria and pass corporate insurance eligibility standards in order to operate company vehicles.
