The Network & Technology Services (NTS) and Customer Experience Finance team is seeking an Executive Assistant to VP, Finance and Administrative Assistant to Directors and their teams.  
 

Key Responsibilities\rProvide administrative assistance to Vice-president, Finance as well as supported Directors and management staffManage and prioritize the Vice-president, Finance and Directors’ calendar and set up of meetings and associated logisticReading superiors' messages and mail to establish response prioritiesHandle expense account for Vice-president, Finance and DirectorsArrange / coordinate travel arrangementsCoordinate weekly meetings, including agenda, logistics, follow-ups and action items and take minutesPlanning, organizing and coordinating internal meetingsProcessing inquiries and liaising with various departments and internal/external customersMaintains the Human Resources files for the department; processes HR transactions in the SAP HR system ensuring accuracy and meeting of deadlines.Order office supplies as well as handle phone and workstation requirementsPrepare presentations, documents and other reports as needed as well as coordinate reports required by the Vice-president, Finance and Directors.Handle invoice payments and codingManage special projects as required during the yearCritical Qualifications\rInitiative and ability to work with minimum supervisionSolid organizational skills and ability to handle multiple inquiries/requests based on their respective prioritiesStrong demonstrated PC skills ( MS Office – Excel, Word, PowerPoint, Outlook) Ability to operate effectively under pressureStrong oral and written communication skills ; ability to write various letters, memos etc. for internal and external clients of all levels, proofread and edit presentations and have the ability to clearly articulate and clarify requests.Strong interpersonal skills with the ability to interact with clients of all levels in a confident, courteous and professional manner.Ability to learn quicklyOutstanding attendance recordConfidentiality / Discreet Highly developed sense of professionalism and ethicsPreferred Qualifications\rPost-secondary education in a related fieldExperience as an Administrative AssistantKnowledgeable in APSS, Ariba and HR SAP SystemKnowledge of internal Bell processes and policies
