Description
We are seeking an Executive Assistant to join our team in the local government sector, located in Richmond, Virginia. This role offers a long-term contract employment opportunity. In this role, you will be tasked with providing high-level administrative support, maintaining excellent relationships with all levels of internal management and staff, as well as outside clients and vendors. You will also handle confidential information with utmost discretion.
Responsibilities:
• Provide high-level administrative support to executive management
• Coordinate and manage calendars, including scheduling meetings and conference calls
• Prepare reports and financial data for review
• Train and supervise other support staff to ensure efficient operation
• Handle customer relations as needed, including resolving inquiries and maintaining accurate records
• Coordinate travel, meeting, and event arrangements as per the requirements
• Screen incoming calls and correspondence, and respond as necessary
• Utilize a variety of software and systems such as ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, and About Time to carry out responsibilities
• Be involved in project coordination and research activities.
Requirements • Applicant should possess excellent communication skills, both written and verbal, for effective correspondence with various stakeholders.
• Experience with ADP - Financial Services software is required, as it is integral to the financial operations of the role.
• Familiarity with Cisco Webex Meetings is necessary for coordinating and participating in virtual meetings and conferences.
• Proficiency in using Concur software is a must for managing expenses and travel arrangements.
• Understanding of CRM (Customer Relationship Management) systems is essential for handling client interactions and data.
• Knowledge of the Kronos Timekeeping System is required for efficient management of working hours and payroll.
• Experience with About Time software is needed for effective project management and resource allocation.
• Skills in calendar management are essential for organising and scheduling appointments, meetings, and events.
• Ability to manage and coordinate conference calls is a key requirement for this role.
