Based full-time in our Head Office in Brisbane, this position will suit an experienced Executive Assistant who is a self-starter, enjoys accountability and can work both autonomously and within a team environment.  The role has a primary focus on providing executive support to senior executives in our Brisbane office. 

 

 The Brisbane office is filled with a diverse range of friendly and inclusive professionals who work collaboratively to achieve successful outcomes for our clients and the organization. The work will be both diverse and interesting, as you will be involved in all aspects of our business and viewed as a key resource in ensuring we are set up for continued success.  

 

To be successful in this role, the ideal candidate will offer: 

Previous Executive Assistant experience.  

Exceptional organisational skills in managing complex schedules, diary management, coordination and booking travel. 

Advanced knowledge of Microsoft Office Package and typing skills. 

Previous experience working in an engineering or construction firm and/or global consulting company will be advantageous. 

Unrestricted working rights in Australia (permanent residency or citizenship). 

 

Key responsibilities include: 

Providing effective, efficient and professional administrative support to the Australia-Asia leadership team. 

Managing agendas, schedules and travel for management.  

Acting as a central-point of contact for Management and Staff and developing strong relationships with all levels within the organization, maintaining strictest confidentiality at all times.  

Assisting with coordination of Senior Executive and Board Member visits to Brisbane from our Headquarters in Canada. 

Reconciling expense claims, credit card statements, purchase orders and accounts payable for the Regional Managing Director and regional leadership team. 

Planning and coordinating Client and Staff functions in a highly organised fashion, within assigned timeframes and budgets, as required. 

Compiling monthly reports through engagement with others and preparing these for Board quality submissions. 

Liaising and assisting other EAs in the region, as required, to ensure even workload distribution.  

From time to time, assist project teams with project services duties.
