Performs executive level administrative support duties for senior leaders within MMA, as well as office management duties for the operations teams such as: account management, copier and printer management, vendor management, proposal production management, overall office suite management, new employee liaison with TMO Human Resources, organizing and maintain files, and distribution of documents. May also assist in specific support tasks for MMA executive and operations teams, such as budgeting, expense tracking, or completing assigned special projects.
ResponsibilitiesThe Executive Assistant will report directly to a Vice President or above within MMA. Specific duties include:
1. Assist with communications from senior leaders on behalf of the company.
2. Maintain appointment schedules, calendars, e-mail and arrange travel plans for assigned senior leaders.
3. Human Resources Liaison: serve as liaison on any time management issues, as well as “on-boarding” of new employees.
4. Is UKG super-user. Monitors and audits bi-weekly payroll for completeness and accuracy.
5. Assist with property-related litigation matters.
6. Maintains conference call calendar for region.
7. Maintains electronic project files.
8. Maintains Partnership Agreements, any necessary updates.
9. Provides backup administrative support to Regional Property Managers.
10. Provides backup support to Office Manager and Reception.
11. Coordination/organization of travel and transportation logistics for Annual District Meeting and division-specific training meetings and events throughout the year.
12. Assist senior leaders and operations staff with other assigned support tasks.
13. Assist with production of requests for proposals, particularly in relation to capital procurement, as well as to bind and assemble proposals when final documents are ready to print.
14. Manage distribution of mail, prepare and send overnight packages and regular mail.
15. Set up and manage paper and/or electronic filing systems; recording information, updating paperwork, maintaining documents and records.
16. Review and prepare expense reports.
17. Coordinate and organize office and outside events.
18. Ensure protection and security of files and records.
19. Assign and monitor clerical functions.
20. Supervise and evaluate performance of direct reports.
21. Collaborate with other teams in TMO and improve relationships.
22. Manage Petty Cash
23. Prepare invoices for reimbursement
24. Perform other duties as required.
Required Experience:
-Minimum 10 years administrative office experience preferred. Must be proficient in use of Microsoft Office, specifically: Word, Excel and PowerPoint. As well as Google Suite programs including Gmail, Google Calendar and Google Drive
-Previous executive assistant experience preferred.
-Affordable Housing industry experience preferred.
Required Education/Training:
-High School Diploma or equivalent.
-Business school or Associates Degree preferred.

- Organizational skills and attention to detail is critically important.
- Must present a professional business appearance.
- Ability to meet deadlines.

Working Conditions:
Primarily an office environment, however must have the ability to work extended hours including evenings and weekends if required.
Salary Range Information:
The range displayed on each job posting reflects the targeted base salary for the position. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
