Composes communication and general correspondences for distribution by senior leadership. Submits marketing requests and provides timely follow-up. The primary point of contact with external organizations, vendors, and internal stakeholders. Addresses general inquiries on behalf of senior leadership, prioritizes and escalates matters as needed. Serves as a liaison for executive leadership, including receiving and screening phone calls and visitors, answering a variety of questions with tact and diplomacy, and taking messages. Uses critical judgment to escalate inquiries. Responsible for managing calendars, scheduling meetings, and conference calls. Maintains and updates the contract database and ensures that all information in the database is current and compliant. Keeps executives informed of time-sensitive and priority issues, ensuring appropriate follow-up. Routinely performs a wide variety of administrative duties such as preparing/sending mail, maintaining e-mail and other address directories, composing and preparing letters for executive signature, preparing check/invoice requests, submitting repair/IT requests, etc. Generates reports and presentations relying on data collection and other pertinent information. Schedules departmental meetings; prepares and distributes meeting agendas, minutes, refreshments, and materials.

Qualifications:

Bachelor's degree preferred. 3 years of administrative experience required; within a healthcare setting preferred. Advanced level of proficiency in Microsoft Office Suite applications. Must have excellent grammar and communication skills. Strong interpersonal and organizational skills. Strong common sense to handle strict confidentiality using discretion in dealing with issues of business & personal nature. Proactive individual who pre-empts needs of senior leadership. Experience handling multiple tasks in a fast-paced environment as well as working effectively under pressure.
