Executive Assistant

We are seeking a seasoned Executive Assistant to provide comprehensive support to Executives within the Legal organization at H&R Block headquarters. This role demands a proactive problem-solver with exceptional organizational skills to manage complex calendars in a dynamic, fast-paced environment. The ideal candidate will excel in communication and be adept at fostering relationships across the H&R Block organization.

What you’ll do:

Efficiently manage and optimize daily schedules, meetings, appointments, and travel arrangements for four busy executives.Assist in preparing presentations and briefs for meetings.Prepare, proofread, verify, and compile information for reports; compose correspondence and create handouts and presentation materials for various meetings and conferences.Handle confidential and sensitive information with the utmost discretion, including mail.Coordinate travel arrangements, hotel reservations, meals, and other travel-related aspects.Prepare and review expense reports, ensuring all supporting documents are compiled and maintained.Assist with tracking, managing, and ensuring compliance documentation for professional affiliations.Invoice and Payment Management: Proven experience managing invoice submission processes, ensuring timely and accurate submission to vendors. Demonstrated ability to follow up and ensure receipt of payments from vendors, maintaining accurate records and resolving any discrepancies in a professional and efficient manner.Prioritize all incoming and outgoing communications, answering questions related to office operations and established policies and procedures while maintaining confidentiality.Contact key individuals inside and outside the company to obtain or relay important information on various issues, either verbally or through written communication.Project manage all coordination for team off-sites and contribute to All Hands and Q&A preparation.Coordinate and manage planning and preparation for external speaking engagements.Build cross-functional relationships with key partners in other departments.
