Executive Assistant
Overview: We are looking for a highly organized and proactive Executive Assistant to provide administrative and operational support to senior executives. The ideal candidate will manage schedules, coordinate meetings, handle communications, and perform various administrative tasks to ensure executives can focus on strategic initiatives. Strong organizational, communication, and multitasking skills are essential for success in this role.Responsibilities:Calendar & Schedule Management:Manage executives’ calendars, including scheduling meetings, appointments, and travel arrangements.Coordinate internal and external meetings, ensuring all logistics are in place (e.g., conference rooms, catering, technology).Prioritize and manage multiple requests for time and attention, ensuring efficient use of executives’ time.Communication Management:Act as the primary point of contact for executives, managing incoming communications (emails, calls, etc.) and responding on their behalf as necessary.Draft and edit correspondence, reports, presentations, and other documents as needed.Maintain confidentiality of sensitive information and ensure that executives are kept informed of important matters.Meeting & Event Coordination:Prepare agendas, documents, and presentations for executive meetings.Record meeting minutes, follow up on action items, and ensure smooth execution of meeting plans.Coordinate and plan company events, board meetings, or client visits, handling all logistical details.Travel & Expense Management:Arrange domestic and international travel for executives, including flights, accommodations, transportation, and itineraries.Process and manage executives’ expense reports and reimbursements.Ensure compliance with company travel and expense policies.Administrative Support:Maintain files, records, and databases for executives, ensuring that all information is organized and easily accessible.Conduct research and compile data as needed to support executive decision-making.Assist with special projects and initiatives, providing administrative and operational support.Office & Team Support:Collaborate with other administrative staff to support office-wide initiatives and ensure smooth day-to-day operations.Serve as a liaison between executives and internal teams, managing cross-departmental communication and facilitating collaboration.Assist in onboarding new team members by arranging equipment, space, and introductory meetings.Qualifications:Bachelor’s degree in Business, Communications, or a related field preferred.3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role.Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling tools.High degree of professionalism, discretion, and confidentiality.Ability to work independently and as part of a team, with a proactive approach to problem-solving.Strong attention to detail and ability to meet deadlines.
